Summary
Warner Bros. Entertainment Inc. seeks an Executive Assistant I for the Solution Assurance & Foundational Services department. This position provides administrative assistance for the Executives in the daily operations of the Technology Solutions organization, specifically within the Solution Assurance & Foundational Services and Corporate Solutions departments. Due to the broad scope of this role, the ability to multi-task effortlessly will be an essential skill for success in the position. This position is a key interface with other department organizations.
Responsibilities
* Ensure executives time and calendar are effectively managed; coordinate executive calendar, schedule meetings as required; able to work independently or as directed; including preparing relevant supporting documents, past follow ups, current action items and deliverables for daily meetings. Ensure executives have requisite materials for meetings. * Coordinate all logistic activities for the Executives; including domestic and international travel and complete expense reports in a timely manner. Order meals for workshops / training sessions as needed. * Manage on-boarding of resources which includes parking, drive-on passes, network access, email, VPN and security / badge provisioning. * Facilitate logistics for videoconferences and WebEx meetings for team members including on-site project training workshops. * Maintain and order office supplies as needed; including copier maintenance. Maintain distribution lists and other projects as assigned.
Ideal Candidate
* High School diploma or equivalent required. * Undergraduate degree preferred. * 3-5 years of administrative experience in supporting a large and dynamic department including: * Previous experience supporting a VP level or higher level executive. * Be able to multi-task, prioritize action items and drive to resolution. * General office experience required. * SharePoint experience preferred. * Entertainment experience a plus. * General Knowledge / Skills required: * Strong organizational and problem solving skills required. * Strong software skills (High proficiency required across Microsoft platforms including: Word, Excel, PowerPoint, Visio, SharePoint). * Strong written and verbal communication skills. * Ability to multitask and support multiple concurrent activities. * Must have worked in a very high paced and dynamic environment. * Ability to organize, prioritize and follow through on tasks to completion. * Must be able to communicate effectively and tactfully with all levels of personnel, both in person and on the telephone. * Must be able to pay close attention to complex detail and understand written and oral instructions. * Must be able to organize and schedule work effectively. * Must be able to work well under time constraints. * Must be able to handle multiple tasks with changing priorities, communicating changes in scope and schedule to all parties concerned. * Must be service-oriented. * Must be able to work independently. * Must be able to work flexible hours, including possible overtime, when necessary. * Must be able to maintain confidentiality.
