Summary
We are seeking a highly motivated Executive Assistant (EA) to provide administrative support to Vice Presidents - including at least one virtual VP. You will be responsible for handling calendar(s); taking phone calls; coordinating travel; processing expense reports, invoices and POs; assisting Senior VP with tracking spend and budget management; headcount tracking and organization chart upkeep; space management, office moves, may supervise other administrative staff; provide/create reports and presentations; special projects as requested and other administrative tasks as needed.
Responsibilities
* Make contacts of a sensitive nature both inside and outside of the company. * Manage both simple and complex calendars. * Arrange group or team meetings, may take minutes in meetings, and organize on and offsite group events and meetings. * Responsible for planning, budget, and logistics for multiple meetings. * May research and craft presentations for various audiences. * Responsible for space management and office move coordination. * Coordinate travel arrangements and process weekly expense reports. * Compile and maintain budget information, process invoices, build requisitions, and may handle department budget. * Build simple and sometimes advanced correspondence, including complex and sensitive emails, letters, memos and reports, and may occasionally write key communication pieces for executives. * Set-up and run video/voice conference calls. * Work in tandem with other global executive assistants on all related matters. * Manage new-hire set up process for new employees for Global Partner Group.
Ideal Candidate
* Know and use formal and some informal channels to achieve faster work results for the team. * Communicate effectively with the team and other staff. Able to handle/communicate sensitive or confidential information appropriately. * Microsoft Office Knowledge: Word, Excel, PowerPoint, Outlook, VISIO, SharePoint. Positive attitude, good judgement and the ability to prioritize ongoing projects.
