Summary
Provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Responsibilities
* Provide all administrative support for SVP and Senior Managers on his team * Handle phone coverage as well as provide back up for reception as needed * Calendar coordination and meeting scheduling * Monitor mail, faxes (sends and distribute) * Make travel arrangements * Set up conference calls * Schedules meetings, luncheons & reserves conference room * Registrations for conferences, seminars and meetings * Maintain all records on subscriptions, etc. * Prepare memos and letters * Process Expense Reports and Disbursement vouchers * Responsible for maintaining copier, fax machine & printers * Orders supplies, business cards and stationery * Monitors and Reports attendance * Preparation and processing of all expenses * Filing, etc. * Special projects including assisting with PowerPoint presentations
Ideal Candidate
**Position Requirements:** * Three to five years of proven senior executive assistant duties at major institutions a plus * Excellent oral and written communication skills and ability to interact at all levels with internal and external legal and other personnel * Detail-oriented, organized and structured * Proactive, requiring little direction, takes responsibility * Deadline and Task-Oriented – Sense of Urgency * Ability to handle matters with high confidentiality * High energy, ability to work independently * Proficient in Microsoft Office suite (Word, Excel, Microsoft Outlook and PowerPoint) * Team Player (working with Office of the Corporate Secretary Team and other Administrative Assistants) * Comfortable in a fast-paced and ever-changing environment **Education:** Bachelors Degree preferred.
