Summary

Provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities
  • Provide all administrative support for SVP and Senior Managers on his team
  • Handle phone coverage as well as provide back up for reception as needed
  • Calendar coordination and meeting scheduling
  • Monitor mail, faxes (sends and distribute)
  • Make travel arrangements
  • Set up conference calls
  • Schedules meetings, luncheons & reserves conference room
  • Registrations for conferences, seminars and meetings
  • Maintain all records on subscriptions, etc.
  • Prepare memos and letters
  • Process Expense Reports and Disbursement vouchers
  • Responsible for maintaining copier, fax machine & printers
  • Orders supplies, business cards and stationery
  • Monitors and Reports attendance
  • Preparation and processing of all expenses
  • Filing, etc.
  • Special projects including assisting with PowerPoint presentations
Ideal Candidate

Position Requirements:

  • Three to five years of proven senior executive assistant duties at major institutions a plus
  • Excellent oral and written communication skills and ability to interact at all levels with internal and external legal and other personnel
  • Detail-oriented, organized and structured
  • Proactive, requiring little direction, takes responsibility
  • Deadline and Task-Oriented – Sense of Urgency
  • Ability to handle matters with high confidentiality
  • High energy, ability to work independently
  • Proficient in Microsoft Office suite (Word, Excel, Microsoft Outlook and PowerPoint)
  • Team Player (working with Office of the Corporate Secretary Team and other Administrative Assistants)
  • Comfortable in a fast-paced and ever-changing environment

Education:

Bachelors Degree preferred.
