Summary
Under general supervision, performs a variety of executive administrative support duties for the Co-Heads of Investment Services team. May involve general team administrative duties including team meeting scheduling.
Responsibilities
**Essential Duties and Responsibilities:** The following duties are generally representative of the nature and level of work assigned and are not necessarily all inclusive : * Calendar management via Outlook; schedule appointments and meetings; make necessary arrangements for meeting/conference resources * Receive and screen telephone calls and visitors * Assist with travel arrangements and expense reports via Concur * Format and prepare a variety of routine materials including correspondence, memos, and reports, some of which may be of a confidential nature * Maintain and update files, databases, and reports * Maintain and order general office supplies * Resolve routine problems and refer other matters to appropriate staff members * May be assigned to work on special projects **Supervisory Responsibilities:** * This job has no direct supervisory responsibilities though may involve working closely with other administrative support personnel on the team and from other Nuveen teams.
Ideal Candidate
**Education and/or Experience:** * 3 to 5 years administrative support or related office management experience * Associate or Bachelor’s degree preferred **Interpersonal / Communication / Language Skills:** * Professional, mature demeanor * Strong communication skills; ability to professionally interact and respond to staff, managers, executives and vendors * Ability to quickly comprehend general business materials such as correspondence, work procedures, and legal/regulatory requirements **Mathematical / Analytical / Reasoning Skills:** * Strong PC skills particularly Microsoft Office and Outlook email/calendar functions * Strong organizational skills and the ability to handle multiple and varied tasks accurately over a short period of time with accuracy and expediency * Ability to logically solve problems and deal with several variables in situations where only limited standardization exists and apply common sense understanding to carry out instructions and make judgments * Basic mathematical skills required in order to prepare various reports **Certificates, Licenses, Registrations:** * Not required of this job
