The Executive Assistant provides administrative support to Daon’s CEO. The role is a trusted advisor and business partner to the CEO with strategic and varied responsibilities relating to the office of the CEO. The Executive Assistant is an extension to (and representative of) the Office of the CEO and maintains a high level of professional demeanor in all situations. The position requires the ability to at all times withhold confidential and proprietary information and safeguard business communications albeit internal or external. Performance is measured by the achievement of the Company’s targets/objectives and by the success and effectiveness of the CEO.
* Act as a liaison between CEO and all departments within Daon * Prepare and edit internal and external correspondence, communications, presentations, CEO Updates, Board Papers and Business Plans * File and retrieve documents and reference materials, manage all filing relating to role of CEO * Conduct research, collect and analyze data to prepare reports and documents for the CEO * Manage CEO’s complex calendar and respond immediately to frequent changes resolving all conflicts independently * Domestic and international travel arrangements management * Expense reporting and credit card reconciliation management * Record, distribute and track meeting action items * Monitor, screen and respond to incoming communications * Liaise with Chairman’s office and internal staff at all levels * Interact with high profile customers building relationships to support the effectiveness of the CEO’s office * Coordinate project based work across multiple departments * Manage All Hands’ Calls, Executive Management Workshops and Annual Sales Kick-off meetings
Ideal Candidate
**Person Specification:** The individual must have strong collaboration skills, strategic thinking, tough-mindedness, a sharp eye for detail, interpersonal skills, unquestioned integrity, the experience, presence and gravitas to effectively handle relationships and sensitive corporate issues. **Experience & Qualifications** * Must have at least 10 years’ experience in a similar position, preferably within a technology or software company, reporting to a C level position * An English or Business degree is advantageous * Must have an ability to develop and deliver comprehensive recommendations on a wide range of matters including relating to responsibilities within this role * Delivery focused and capability to multitask to a high level * Must have experience managing an international travel calendar and in working across multiple global time zones * Polished communication (written and verbal) a core requirement of this position as is writing skills, must have a strong ability to write, edit and proofread * Familiarity with the government procurement process and proposal development an advantage * Fully proficient in Microsoft Office; Outlook, Visio, PowerPoint and Excel at an advanced level is a requirement * Significant experience in report writing and presentation preparation is required * Must have experience in managing WebEx and teleconference systems **Core Competencies** * Self-directed * Independent thinker * Organizational and planning skills * Interpersonal skills * Analytical and problem-solving skills * Judgment and decision-making * Initiative * Confidentiality * Attention to detail and accuracy * Flexibility * Ability to work a varied work schedule * Discreet and ethical
