Provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
- Provide all administrative support for Senior Managers of the Excess team
- Handle phone coverage
- Calendar coordination and meeting scheduling
- Monitor mail, faxes (sends and distribute)
- Make travel arrangements
- Set up conference calls
- Schedules meetings, luncheons & reserves conference room
- Registrations for conferences, seminars and meetings
- Maintain all records on subscriptions, etc.
- Prepare memos and letters
- Process Expense Reports and Disbursement vouchers
- Orders supplies, business cards and stationery
- Monitors and Reports attendance
- Preparation and processing of all expenses
- Filing, etc.
- Special projects including assisting with PowerPoint presentations
- Excellent communication skills, verbal and written.
- Proficient in Outlook, Microsoft suite (Excel, PowerPoint, Visio), Ariba, Concur, PPM
- Strong organizational and time management skills
- Three to five years of proven senior executive assistant duties at major institutions a plus
- Excellent oral and written communication skills and ability to interact at all levels with internal and external legal and other personnel
- Detail-oriented, organized and structured
- Proactive, requiring little direction, takes responsibility
- Deadline and Task-Oriented – Sense of Urgency
- Ability to handle matters with high confidentiality
- High energy, ability to work independently
- Proficient in Microsoft Office suite (Word, Excel, Microsoft Outlook and PowerPoint)
- Team Player
- Comfortable in a fast paced and ever changing environment
- Bachelor’s Degree preferred.
