Summary
Provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Responsibilities
* Provide all administrative support for Senior Managers of the Excess team * Handle phone coverage * Calendar coordination and meeting scheduling * Monitor mail, faxes (sends and distribute) * Make travel arrangements * Set up conference calls * Schedules meetings, luncheons & reserves conference room * Registrations for conferences, seminars and meetings * Maintain all records on subscriptions, etc. * Prepare memos and letters * Process Expense Reports and Disbursement vouchers * Orders supplies, business cards and stationery * Monitors and Reports attendance * Preparation and processing of all expenses * Filing, etc. * Special projects including assisting with PowerPoint presentations
Ideal Candidate
* Excellent communication skills, verbal and written. * Proficient in Outlook, Microsoft suite (Excel, PowerPoint, Visio), Ariba, Concur, PPM * Strong organizational and time management skills * Three to five years of proven senior executive assistant duties at major institutions a plus * Excellent oral and written communication skills and ability to interact at all levels with internal and external legal and other personnel * Detail-oriented, organized and structured * Proactive, requiring little direction, takes responsibility * Deadline and Task-Oriented – Sense of Urgency * Ability to handle matters with high confidentiality * High energy, ability to work independently * Proficient in Microsoft Office suite (Word, Excel, Microsoft Outlook and PowerPoint) * Team Player * Comfortable in a fast paced and ever changing environment * Bachelor’s Degree preferred.
