Summary
The primary role of the Receptionist/Administrative Assistant will be to provide diverse administrative support to the San Francisco office. The Receptionist/Administrative Assistant will be a self-starting individual capable of managing multiple tasks and responsibilities, comfortable proactively and independently solving problems, who is highly professional with a positive attitude. This is an excellent opportunity to develop skills and techniques applicable to administration duties and communication while gaining a better understanding of the nonprofit sector.
Responsibilities
* Cover the Reception desk & answer and direct all incoming calls to main reception line * Meet and greet all arriving guests (includes offering a beverage, hanging coats, etc.) * Maintain general reception area and copy room/supply room appearance * Manage conference room and equipment schedule as well as set up equipment for meetings. * Assist with all meeting preparation as needed, including ordering and setting up catering, and conference room preparation and break-down * Field general office inquiries (from external and internal sources) * Liaise with copier and fax technicians for repairs, supply re-order, etc. * Liaise with Fed-Ex, UPS, DHL, etc for all incoming and outgoing packages (includes maintaining supplies, updating account info) * Process and distribute all incoming mail * Maintain Bridgespan mailboxes/nameplates * Provide direct administrative support to one or more members of the San Francisco management team, including calendaring and scheduling management, travel arrangements and time and expense reports * Perform other related duties as requested or as responsibilities dictate * Handle all facilities management inquires for the office
Ideal Candidate
* Bachelor's degree * 1-2 years of experience in providing adminsitrative support in a professional work environment * Experience and comfort with technology and databases * Experience with MS Office Suite * Strong organizational skills and detail-orientation necessary * Articulate and polished communication style * Friendly, warm personality * Proactive and resourceful
