Responsibilities
The Marketing Coordinator will be responsible for supporting the companys marketing department by carrying out the daily tasks related to a number of marketing activities compiling, formatting, and reporting information and materials. **Responsibilities include:** * Manage annual conference calendar * Coordinate all logistics for conference sponsorships and exhibitorships based on business partner requirements * Create Cvent registration websites including email communications * Test all websites with Manager before client distribution * Send out invitations, reminders and custom email communications * Set up registration reports, extract and communicate necessary information to Manager * Assist in the planning and execution of client and internal events * Provide onsite marketing event assistance as needed * Participate in weekly team meetings * Research and coordinate fulfillment of promotional items and lucites, including inventory management * Maintain electronic files associated with conferences, events, and marketing projects * Assist with PMCCs recruiting process; manage the marketing materials, career fair giveaways and other recruiting initiatives as necessary * Review, update and audit the marketing materials database as required including inputting results data, summarizing information, graphs, and presentations * Coordinate corporate portraits with executives and photographer * Assist in creation of staff biographies; reviewing biannually and updating as needed * Act as point person for PMCCs corporate membership directory; completing the application process for new memberships and maintaining membership catalogue and coordinate annual renewals * Review PMCCs electronic inbox twice daily and respond to inquiries on PMCC's toll free number, directing visitors and callers to the appropriate contacts * Assist in PMCC communication efforts as needed * Provide administrative support including: processing invoices; preparing overnight shipments; ordering supplies; coordinating shipments to conferences and major meetings; creating name tags, dinner place cards and like collaterals; research business partner issues/concerns, etc * Interact with vendors for issues related to travel, shipping, bill payment, local arrangements, etc.
Ideal Candidate
* Bachelors degree preferred * 1-3 years event management/coordination strongly preferred * Conversant in Cvent, Certain, Eventbrite or other online registration tool required - Cvent certification is a plus * Computer proficiency with a strong working knowledge of the Microsoft Office suite, and ability to learn new and proprietary applications * Experience in InDesign and Photoshop * Superior customer service skills * Strong organizational skills and attention to detail a must * Strong interpersonal and partnering skills * Self motivated * Ability to work effectively both independently and as an integral member of a team * Excellent written and oral communication skills * Ability to manage multiple tasks and changing priorities under tight time constraints while delivering quality results * HTML coding/familiarity with technology solutions is a plus * Up to 10% travel * Flexibility to work overtime as required
