Summary
Phase One Consulting Group is seeking an Administrative Coordinator to be responsible for the central coordination of company-wide administrative and planning activities. The Administrative Coordinator must demonstrate a commitment to excellence, flexibility, as well as poise, while working in a fast-paced professional environment. The Administrative Coordinator must always demonstrate confidence and have the ability to interface with clients and co-workers in a professional, approachable, and positive manner.
Responsibilities
* Provide high level administrative support in a team environment; monitor and place office supply orders; coordinate with building management, and office support vendors * Perform administrative duties for the Human Resources department; Review and verify information related to HR, payroll, benefits; enter HR related data into the HRIS and/or database; Assist with the preparation and processing of new hire orientation, training, performance management, and terminations * Provide front desk presence by greeting and escorting visitors; answer telephones and route calls; distribute and route mail, packages, and documents * Coordinate meetings and special events including scheduling, communications, logistics, catering and any other related materials * Maintain the appearance, cleanliness, and organization in conference rooms and other common areas * Assist in expense reporting and manage credit card reconciliation * Create and format documents and high level presentations including status reports, presentation (Power Point), spreadsheets (Excel) and other related documents * Coordinate and book complex travel for multiple leaders * Run brief errands for administrative tasks or to support special events * Assist in day of event execution for corporate meetings and events * Administer projects of specialized natures, summarize data and present findings
Ideal Candidate
* College degree preferred and 0-2 years administrative experience, preferably in a fast paced and challenging environment * Excellent computer skills including Microsoft Office 2010 (Word, Excel, PowerPoint, and Outlook) are required; experience with MS SharePoint preferred * Demonstrated capabilities in making solid business decisions, problem-solving, and multi-tasking in a highly dynamic and fast paced business environment * Ability to work independently * Excellent grammatical, editing, and proofreading skills * Exceptional interpersonal, verbal, and written communication skills * Scrupulous attention to detail and ability to develop and maintain highly organized work environment * Proven ability to set priorities and work independently with little or no supervision * Proven ability to exercise high degree of confidentiality and objectivity * Resourcefulness and the ability to deal with ambiguity * Maintain professional composure at all times * Ability to interact effectively as a member of a team and work collaboratively with other departments * Reliable transportation to run errands for administrative tasks and/or support special events * Ability to work evening and/or weekend hours for company events and functions * Ability to frequently lift and /or move up to 30 pounds and occasionally lift and/or push up to 50 pounds
