Summary
The Property Administrator assists the property management team with the delivery of world-class client services through support and administration of activities involving lease administration, client, tenant, vendor and employee relations, systems, procedures, financial systems and coordination.
Responsibilities
* Provide administrative and accounts payable support. * Provide administrative support that include but not limited to, phones, mail, supplies, correspondence, filing, copying and faxing. * Will assist with tenant requests in a timely basis to meet Client lease obligations with tenant. * Establish and maintain property, lease and vendor files (including but not limited to contact lists, construction, legal, inventory lists, correspondence, etc. * Receives invoices, codes accordingly, computer input, posting, and processing. * Review all invoices for appropriate documentation and approval. * Receives all inbound calls from client, tenants, contractors and guests and routes calls appropriately. * May review work order calls, creates and dispatch work orders. * Will assist with tracking and maintaining certificate of insurances by tracking expiration dates, requesting renewals, and ensuring compliance with standard coverage terms and conditions. * Assist in maintaining service contracts, tracking expirations and prepare bid packages when necessary. * Prepare and submit monthly summaries of all billable work orders for inclusion on rent statements. * Other duties as assigned.
Ideal Candidate
* High school diploma required. * Some office related experience. * Able to be a self-starter and complete projects independently. * Must be customer focused and dedicated to meeting the expectations of the internal and external customers and always acts with the customer in mind. * Must bring to outstanding organizational skills and the ability to handle multiple tasks simultaneously while meeting deadlines. * Excellent communication skills with the ability to respond to common inquiries and complaints from clients/tenants. * Ability to handle situations, solve problems, and multi-task in a fast-paced environment * Must be able to follow standard filing procedures. * Proficient in Microsoft Word and Excel.
