Summary
The Accounts Payable Team is responsible for global invoice processing and payments. The AP Coordinator role will ensure that all invoices are processed timely and comply with Sox documentation and Rubicon Project policies and procedures.
Responsibilities
* Manage AP mailbox by sorting and distributing incoming vendor mail to various departments for approval. * Disseminate invoices to the appropriate AP processors within the department. * Scan, organize and maintain files and documentation by vendor, payment type, bank, and currency in accordance with company policy and accepted accounting practices. * Respond timely to all vendor inquiries, reconcile vendor statements, research and identify discrepancies. * Set up and maintain complete vendor files within Oracle and the various banking systems. * Prepare domestic and international wire and ACH templates within various banking systems. * Sort and match checks and ACH/wires to invoices for payment approval and release. * Spearhead the annual 1099 process by validating financial systems information, updating 1099 forms, and distributed completed 1009 forms. * Assist in ad hoc projects as needed in all areas of accounting. * Assist with quarterly/annual internal and external audits.
Ideal Candidate
* Bachelor's degree (preferred). * 2- 5 years of experience in an Administrative role (Accounts Payable preferred). * Proficient in Excel formulas and pivot tables. * Experience with Oracle or a large ERP is preferred. * Exceptional organizational skills with the ability to prioritize and track tasks effectively. * Excellent written and verbal communication skills. * Strong team player who works well in a in a fast paced, changing environment.
