Summary
This position is critical to the future growth of our company as it will be the backbone of the communication structure of the company. Sales team, field technicians and the owner will all communicate through the office manager so this is a vital role to our company.
Responsibilities
* Receiving incoming calls from customers and arranging free estimates for our owner and sales managers * Calling customers that send in inquires about our service via the web and arrange estimates * Arranging job dates for customers * Handling schedule changes for sales reps and franchise owners * Assist staff with administrative duties as requested. * Manage the schedules of the technicians and sales team. * Maintain accurate daily accounting of deposits, final invoices and payments collected. * Assist with completion of necessary statistical reports to help monitor short and long term company number and compare those to our goals * Maintain appropriate interpersonal relationships with employees, peers, and customers. * Track employee vans to ensure timely arrival to job sites along with communication with the technicians and customers to let them know of any changes to the schedule
Ideal Candidate
* The ability to work independently, with little oversight, but with accountability to executive management for the end-result achieved * An optimistic, can't-lose attitude combined with a healthy dose of reality (customers do not call service companies to tell them how great they were but often the later) * Would prefer clerical or administrative experience * Working Knowledge with Software (Word, Excel, Quickbooks, Google Documents) * Ability and willingness to work some early mornings (Company Team meetings every monday at 7am) * Phone experience in a customer service role dealing with problem resolution, (you will be answering the calls when issues arise, and the customers will not be happy) * You must be reasonably computer savvy
