Summary
The Administrative Assistant, Office of the Provost, reports to the Chief of Academic Compliance / Director, Office of the Provost, and works as a member of the Office of the Provost within Academic Affairs. He/she performs a variety of duties, including data entry and knowledge management, handling information requests, and performing clerical functions such as filing, preparing correspondence and reports, supporting meeting and events, arranging conference calls, and entering expenses.
Responsibilities
**Office Support** * Perform general office duties such as filing, copying, ordering books and supplies, mailing, etc. * Assist with travel arrangements, itineraries, and subsequent expense reconciliation * Collect and compile information to prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, and/or presentation software. **Meeting Support** * Coordinate among multiple Outlook calendars to check schedules and set up meetings. * Provide meeting support, including drafting and preparing meeting agendas, minutes, corresponding materials, as well as follow-up emails * Reserve rooms, order catering, and assist with meetings/events. **Communication** * Maintain a high standard of professional communication (e.g. email, written correspondence or verbal) on behalf of the Provost’s Office with internal and external constituencies. * Work closely with national and campus-based administrative staff. Establish and oversee a systemic, error-free approach to matters pertaining to these entities. **Knowledge Management** * Store and retrieve documents, records, and reports (both paper and electronic) * Manage several data repositories and record management systems (e.g. Canvas) * Ability to develop and maintain tracking sheets * Complete special projects and other duties as assigned.

**Essential Knowledge, Skills, and Abilities:** * Professional demeanor and attitude * Ability to handle work of a confidential or sensitive nature, requiring considerable discretion, judgment, tact and diplomacy * Strong customer service, initiative, and * Proactive, with initiative a "can do" attitude * Ability to work independently, with minimal supervision, and collaboratively, as part of a team * Flexible, collaborative working style, and supporting of symmetrical leadership * Ability to work effectively in a fast-paced environment, which includes ability to adapt to changing circumstances and priorities * Ability to problem solve and manage multiple projects and competing priorities * Excellent written and verbal communication and comprehension * Strong organizational skills and keen attention to detail * Proficiency with computers and MS Office software, including Microsoft Word, Excel, PowerPoint, and Outlook; * Experience with Canvas and SPSS a plus. **Position Qualifications:** * Minimum of 3 years’ experience in an executive assistance or management capacity in support of senior level professionals * Bachelor’s Degree required.
