Summary
This position will coordinate all governance activities related to Union meeting and Committee records. Position will be responsible for recording, writing, editing, finalizing, distributing and archiving summaries and minutes for all Executive Committee meetings, including highly confidential and sensitive material. In addition, position may be requested to assist with the preparation of National Board minutes and the management of those records. The coordinator is responsible for developing and maintaining a database of Governance-related information, including National Board and Executive Committee resolutions and actions; coordinates / supports the development and maintenance of a similar database for Local Boards and certain standing committee meetings. Assists with preparation, and execution of, National Board, Executive Committee, Local Board and various other executive meetings; Coordinates distribution of minutes and other Governance and Committee related information to Board members, members and staff. Researches requests for information and materials related to resolutions, policies, precedents, procedures and past practice.
Responsibilities
* Record, write, edit, finalize, maintain and distribute full minutes for the Executive Committee, and certain standing committees. * Prepare a summary of actions immediately following each Executive Committee meeting. * Prepare for and assist in conduct of National Board and Executive Committee meetings. * Distribution and web posting of agendas, meeting materials and post-meeting information to elected members and staff. * Coordinate information between Locals and appropriate Departments. * Maintain lists of National Board, Executive Committee and trustees to outside organizations. * Maintain meeting logs. * Maintain archive of all Board and Executive Committee records and ensure their accuracy and safety. * Develop, maintain and update database of Governance-related information and materials. * Research requests and prepare memos for information related to resolutions, policies, precedents, procedures and past practice. * Interpret Board documents and policy. * Maintain master calendar and committee schedules. * Maintain committee lists and committee records and databases. * Perform other department duties as assigned or as the situation dictates.
Ideal Candidate
**Required Knowledge, Skills & Abilities:** * Outstanding writing skills and editorial proficiency for accurate capture of complex and lengthy meeting minutes. * Demonstrated ability to summarize complex issues and convey them in a straightforward manner. * Demonstrated facility with advanced I.T. solutions and software for development and maintenance of information database and voting systems. * Demonstrated success with meeting deadlines and expediting multiple tasks – particularly with short notice. * Demonstrated discretion, tact and professionalism – particularly in highly pressured situations. * Able to communicate effectively in English, both orally and in writing. * Able to accurately type 35 WPM. * Detail oriented * General understanding of Roberts Rules of Order preferred. * Able to prioritize tasks and follow-up with little or no supervision. * Demonstrated ability to work proficiently under pressure. * Able to be courteous and responsive to all member inquiries. * Superlative interpersonal skills: high degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally. * Have an understanding and awareness of workers’ rights impacting SAG-AFTRA members. * Hold yourself and others accountable for a high level of performance and integrity. * Must be able to work weekends and evenings. * Must be able to attend any and all National Board and Executive Committee meetings as required. * Must be able to use sound judgment. * Must be able to appropriately and professionally interact with high profile members. * Must be able to work in a challenging environment where constructive feedback from others is encouraged. * Must be able to manage difficult and/or challenging personalities. * Some travel required. * Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA’s sole discretion * Must be available and willing to work such overtime or extended hours per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs. * Must be available and willing to travel to such locations and with such frequency as the SAG-AFTRA determines is necessary or desirable to meet its business needs. **Education and/or Experience:** * Bachelor’s College degree from accredited college or university, or an equivalent combination of education and experience. * Degree in Communication, Writing, English or Journalism a plus. * Experience with Board or Committee Meetings highly preferred. **Testing Requirements:** * Basic skills- math, spelling, grammar and filing – passing score: 76% * Typing test (35wpm) * Word and Excel (basic, intermediate and advanced) – passing score: 76% * Governance Writing test
