Summary
Prudential Capital Group’s Energy Finance Group is seeking a bright, entrepreneurial, motivated, and organized individual for an Executive Assistant position. This individual will have administrative management responsibility, and would perform administrative work of significant difficulty and complexity for PCG’s Oil & Gas Team. This position is located in Dallas and reports directly to the Managing Director.
Responsibilities
* Provide general administrative support for the Managing Director and other Investment Professional staff as needed (including but not limited to answering telephone, word processing, compiling meeting materials, photocopying, filing, vouchers, and maintaining/ordering supplies). Screen and respond to routine and non-routine calls. * Handle confidential material on behalf of the Managing Director * Schedule internal and external meetings with significant time and focus spent on coordinating multiple schedules, conference calls, and meetings. * Organize and maintain office calendars as needed. * Prepare correspondence, memos, reports, charts, spreadsheets, and presentations of moderate to significant complexity. * Organize and handle registrations, hotel, and general travel arrangements for multiple staff members for offsite meetings, conventions, conferences and seminars. * Special projects as assigned, including planning, organizing and overseeing logistics for internal management events in support of Managing Director obligations and other external business development events on behalf of the broader Oil & Gas Team. * Oversee certain office administrative related duties and project assignments including, but not limited to, office-wide IT resource coordination, office marketing initiatives and campaigns and maintenance of business continuation records. * Other office administrative responsibilities and would include point of contact with building management or other administrative professionals regarding office maintenance. **Other shared duties and responsibilities would include:** * Sort and distribute department mail and faxes. Prioritize and take action and/or direct appropriately. * Arrange, compile and assemble materials for meetings as needed. * Prepare and submit vouchers to Accounts Payable for processing and reconcile any errors/discrepancies. * Maintain oversight for the Paymaster/Attendance record function for the Team. * Manage office filing system, including maintaining bother physical and electronic transaction files and related signature approvals for deals. * Ensure that new hires are on boarded and supported as needed with information and requisite materials (e.g. office supplies, business cards, credit card, etc). * Management of office supplies (e.g. on-going assessment office needs, ordering and distributing supplies) * Maintain trade association memberships and subscriptions.
Ideal Candidate
* A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity required. * Strong personal initiative, leadership and excellent independent judgment a must. * Excellent meeting planning, project management, and organizational skills. * Demonstrated high proficiency with Microsoft Office computer applications. Mastery of Microsoft Word, Power Point and Excel reports and presentations is a requisite. * Attention to detail and ability to manage multiple assignments and prioritize accordingly. * Ability to work under minimal supervision under tight time constraints as needed. * Excellent interpersonal skills, dependability and the ability to communicate with all levels in the organization required. * High School Degree required, Bachelor's Degree preferred. * Proven experience and ability handle sensitive, privileged and confidential information in a respectful manner. * Strong business/administrative experience required. * Ability to work independently but also partner as a team player. * Willingness to take direction from various sources required. * Proficiency with Lotus Notes a plus. * Experience with Salesforce a plus. * Flexibility to work overtime as required.
