Responsibilities
Manage leave-of-absence (LOA) benefit programs, including FMLA: * Receive and process all LOA-related paperwork, including but not limited to LOA Requests, medical certifications/supporting documents, return-to-work forms, and some verification requests from government agencies: * Manage all aspects of each LOA, from receipt of request to reinstatement. * Determine FMLA eligibility, and issue appropriate paperwork within required timeframes. * Track employee compliance with LOA requirements/deadlines. * Maintain accurate database of current/past activity, and provide reporting to HR as needed. * Maintain all paper and electronic LOA files. * Ensure that LOA policies and procedures comply with applicable laws and regulations. Serve as primary representative in the event of an FMLA audit. * Continually analyze and evaluate LOA policies, procedures, and activity in order to identify opportunities for process improvement. Lead change, from proposal to implementation. * Represent MPW at unemployment hearings where LOA was a factor in employee termination (or provide supporting documentation/statements to HR, as needed). * Review and release all non-vacation leave requests to Payroll, using the K2 workflow management system (electronic). Follow up as needed to ensure written requests are submitted where necessary. * Serve as clearinghouse for LOA/FMLA-related questions from all employees. * Participate in onboarding and/or training of HR and supervisor-level employees, as it relates to LOA. * Design and deliver training at corporate and branch locations (may require occasional overnight travel). * Seek out and/or attend training as needed in order to maintain professional credentials and/or remain a subject-matter expert. * Assist with management of the LOAFAX electronic fax inbox and Certificates of Fitness for Duty (FFDs): * Co-monitor the LOAFAX electronic inbox. * Escalate any time-critical Fit-for-Duty (FFD) forms to senior Health & Safety staff, when Occupational Health Nurse is not available. * Provide FFD forms and job descriptions upon request. Provide administrative and back-up support to Risk Management Supervisor (Workers’ Compensation). * Perform administrative tasks as directed to support the Risk Management function (data entry, wage reporting, etc.) * This role shares mutual “back-up” responsibility with Risk Management Supervisor, with each providing necessary services when the other is out of the office. To this extent, Coordinator may be required to undergo limited training on Workers’ Compensation (depending on career interest/aptitude, increased training and involvement in Workers Comp may be provided, to prepare Coordinator as a successor to the Supervisor role).
Ideal Candidate
* Bachelor or Associate Degree (preferably in Human Resources or related field), or equivalent experience. * Ability to handle sensitive and confidential information appropriately. * Professional interpersonal, oral, and written communication. * This role requires exposure to difficult emotional situations. The successful candidate will demonstrate empathy and sensitivity, without sacrificing professionalism or compliance with business/legal standards. * Two to four years of administrative experience in a fast-paced environment. * Excellent organizational skills. * Ability to balance and prioritize numerous deadlines. * Proficiency with Microsoft Word, Excel, Access, and Power Point. * Prior experience with an HRIS database helpful.
