Summary
The Corporate Receptionist & Administrative Assistant will provide executive level administrative support to Human Resources and members of Libbey’s Executive Leadership Team. This position will also serve as Receptionist for Libbey’s corporate office, manage the mailroom, manage routine facilities maintenance needs and provide other administrative duties as required. We are looking for a reliable professional who is skilled at supporting the executive level, who provides superior customer service and has excellent interpersonal, judgment and communication skills.
Responsibilities
* Provide general administrative support on confidential and sensitive matters to Human Resources, Executive Leadership Team, and other departments, as directed. * Provide calendar management for members of the Executive Leadership Team, including scheduling meetings, conference calls, and videoconferences. * Make travel arrangements for Executive Leadership Team, and process related travel and expense reports. * Receive, screen and dispatch all incoming and interoffice calls, demonstrating etiquette and professional demeanor. * Professional efficiency in receiving all customers, vendors, couriers, and package delivery personnel while exercising tact and diplomacy. * Administer photo ID process for HQ associates and assign visitor badges to all incoming guests and visitors; maintaining ongoing audits of badge inventory. * Manage the mailroom including timely and efficient sorting of daily mail deliveries, maintaining appropriate copy paper and office supplies stock, maintaining clean and clutter-free environment. * Order and track all office supplies for various departments and budget account allocation of respective costs. * Manage procurement card receipts and reconciliation for Human Resources Department. * Process Human Resources Department invoices. * Coordinate routine maintenance requests for appliances and other facilities issues. * Manage allocation and distribution of Mud Hens tickets for Libbey’s corporate suite. * Regular attendance is important to achieve overall company/departmental goals and is a requirement of the position
Ideal Candidate
* High School Diploma, or equivalent, required; some college preferred * Prior Receptionist or Administrative Assistant experience necessary * Ability to work with highly sensitive and confidential matters, maintaining strict confidentiality at all times * Proficient PC skills, including intermediate to advanced skill level in Microsoft Word, and basic skill level in Microsoft Excel and PowerPoint * Superior accuracy and attention to detail * Demonstrated ability to work in a dynamic, fast-paced environment and ability to prioritize tasks and demands to ensure deadlines are met * Superior organizational skills and practices * Professional interaction with other Libbey Associates and outside contacts
