Summary
This position provides principal secretarial support in an office, for supervisors, and, in some cases, to the subordinate staff of those supervisors. The Secretary maintains a close and highly responsive relationship to the day-to-day activities of the office and its staff, works fairly independently receiving a minimum of detailed supervision and guidance, and performs various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. Computers exist in the environment, requiring working knowledge of certain office software programs, and training to operate those proprietary software programs specific to office needs.
Responsibilities
* Performs and provides back up support for all duties in the role, including review and reconciliation of contractor timesheets, assembly of contractor badge paperwork for COR review, FSI and SLS room reservations and scheduling, all SLS visitor requests, maintaining SLS electronic distribution list(s), direct-hire Time & Attendance, scanning and conversion of hardcopy files to digital format, and other general duties as assigned * Provides operational support for all aspects of SLS Admin Team processes * Use knowledge and related experience to complete tasks and suggest areas for process improvements * Exercises discretion and judgment in carrying out tasks or procedures for which they are accountable * Tracks incoming projects and taskings from SLS Deans, FSI Front Office and FSI Executive Directorate and other constitutes on behalf of the Admin Team Leader and Admin Team. * Sets up and maintains a task tracking system to ensure that all milestones and deadlines are met by the SLS Admin Team * With guidance of the Admin Team Leader, works across FSI and the SLS Divisions and units to disseminate or gather information to ensures that projects and goals are advanced and coordinated in a timely and comprehensive manner * Provides support to SLS Administrative Team to aide in problem solving, project planning * Provide support in compiling documents and reports to support SLS Admin Team in annual and mid-year financial planning, non-serverables planning, SLS budget execution and procurement, HR Tracking, and Travel * Organizes and schedules meetings, contributes to SLS Admin meetings and working groups to achieve productive outcomes through ensuring prepared agendas, defined outcomes and scheduled follow-up * Draft SOPs to document SLS Administrative Office procedures and processes. * Populate and update established SLS Admin tracking systems and provide input on process improvement of existing systems. * Provide orientation to administrative processes and procedures for new SLS Contractors. * Organizes and Tracks and Contractor feedback documents * Create and maintain SLS materials catalog of recurring purchases. * Compile and documents and information for monthly SLS credit card reconciliation * Scan and maintain electronic COR files * Prepare travel authorizations, and vouchers in the corporate travel system; initiate travel task orders using the Ariba procurement system. * Serve as back up for the SLS travel arranger. * Special projects as assigned.
Ideal Candidate
* 3 years’ work experience is preferred * SharePoint experience strongly preferred. * Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) * Experience using Microsoft Access to manage simple databases * Strong written and oral communication skills * Ability to work collaboratively as a member of a team * Strong organizational skills and the ability to meets deadlines * Strong customer service skills * Ability to present yourself professionally in a government environment and to inspire confidence with those with whom you have contact * Bachelor’s degree is preferred
