Summary
The Real Estate Coordinator is responsible for providing administrative support to the sales team focusing on four essential functions, contract administration, escrow tracking, reporting, and sales office management.
Responsibilities
* Open and close Sales Center daily. * Identify and manage day-to-day needs of the Sales Center. * Set-up all property unit files, track and manage sales contract files, and ensures completion of all files. * Open buyer escrow accounts. * Audit and route purchase agreements under Sales Manager’s supervision. * Ensure the timely delivery of deposits and sales contracts to title companies. * Function as a day-to-day liaison with third parties, including buyers, prospects, vendors, Development and Sales teams. * Communicate routine needs to sales manager and responds to third party requests. * Escalate significant issues to management as necessary. * Coordinate scheduling of preferred lenders. * Take notes during weekly sales meetings and distributes meeting minutes. * Submit and track processing of sales office payables in Nexus. * Maintain current vendor insurance list to ensure appropriate coverage is maintained by the vendors. * Ensure all CIM Group documents and sales contracts are archived in SharePoint as directed on a monthly basis. * Maintain monthly and weekly escrow and lending reports. * Enter and update sales contracts in SalesForce. * Track event attendance and profiles on a daily basis in SalesForce. * Update and maintain internal sales team calendar. * Oversee daily operations of Sales Center under the direction of the Sales Manager. * Send mail, overnight packages, thank you notes and marketing mailings as needed. * Provide administrative and Operational support for the project. * Greet prospects and answer incoming calls. * Respond to voicemails, emails and regular mail. * Assist with weekly reports and special projects as needed. * Coordinate and attend marketing events. * Manage office supply inventory and order supplies as needed. * Order marketing materials as needed.
Ideal Candidate
* Requires 3-5 years previous experience within the Escrow, Title, Mortgage, or Real Estate Development. Undergraduate college degree preferred. * Valid Real Estate License is required. * MS Office including Excel, Word, PowerPoint * Familiar with Nexus Payables or similar software application. * Familiar with Yardi or similar software application.
