Summary
The primary role of this position is to support the Vice President of Food Service Sales, his direct reports and will report to the Manager of Food Service Division (FSD) Sales Operations. This position will support many of the functions of the FSD Sales Support organization.
Responsibilities
* Provide primary administrative support for Vice President of Food Service Sales and other direct reports of the VP of Sales: * Outlook email and calendaring * travel planning * presentation support utilizing PowerPoint, Excel * meeting planning – room coordination and setup as needed, food/beverage coordination, utilize Microsoft Lync as needed, etc. * process AMEX expense reports for corporate expenses for identified leaders * maintain inventory of Food Service specific items and ship out to fulfill requests as needed * order and maintain inventory for various office supplies for department * maintain, track and report on tradeshow spending * maintain sales organizational charts, coverage maps and sales associate cost center assignments * other support as needed * Provide meeting logistics and administrative support for various internal divisional meetings (Town Halls) and external tradeshow events (IFDA, Golbon, Unipro etc.): * binder creation * presentation support utilizing PowerPoint, Excel * meeting planning – room coordination and setup as needed, food/beverage coordination, utilize Microsoft Lync as needed, etc. * work with respective individuals to coordinate arrangements needed for those attending shows, i.e. scheduling, hotel, registration, materials, etc. * WHQ Customer visit coordination * Maintain necessary communication lists, provide administrative support and tracking to support the pricing revision, recall processes, broker contracts and general communications to the sales organization and our customers including: * maintain and update document listing as well as the Microsoft Outlook on-line global e-mail address listing as changes occur * Provide support to FSD WHQ and Sales associates through response to various phone and email requests. * Assist with the coding and processing of Web Cycle actions for sales: * work with accounting and assist others for proper coding and processing of all invoices/check requests through RPC web cycle. * Assist with the coordination, scheduling and support group requests of the on-boarding process for new FSD Sales WHQ and field sales associates including: * request for equipment (i.e.; laptops, i-pads, i-phones, etc.) * Provide backup to the other divisional administrative staff
Ideal Candidate
* Associate’s degree (in business management, finance, economics or marketing preferred) with 3+ years of general office support experience or a Bachelor's degree with 1+ year experience (bachelor’s degree is preferred) * Solid written and verbal communications skills * Ability to multi-tasking/problem solving/troubleshoot * Strong application proficiency to include WebCycle and SharePoint * Incumbent must possess experience and skills in the areas of software. Intermediate level of proficiency in all Microsoft Group Office applications (Word, Excel, PowerPoint, Outlook, Live Meeting, etc.) is required. * The ability to assume responsibility without direct supervision, exercise initiative and judgment and make decisions within the scope of assigned authority is required. Individual must possess the maturity and integrity to deal with matters of a highly confidential nature. * Individual must possess excellent organizational and time-management skills to be able to effectively manage multiple duties concurrently.
