Summary
This position will provide administrative support to the Regional Leadership Team in addition to the regional office and locations. The purpose of this position is to provide administrative support. The Administrative Assistant may be responsible for providing accounting support, processing operations reports, providing Human Resources support, payroll administration, and general administrative support. Interacts on a regular basis with all location personnel.
Responsibilities
**Principal Accountabilities** 25% - 100% General Administrative Duties: Provide support to the Regional Leadership Team by booking meetings, coordinating entertainment/meals, answering phones, taking messages, and completing expense reports as needed.Set up new vendors ensuring we have 1099’s, coordination of payables to Central Payment office, ordering and maintaining office supplies, responsible for mail sorting and distribution, assist in mass mailings for region. Other duties as assigned. **May also be accountable for the following:** * 25%Payroll: Responsible for location payroll administration including accurate, current employee record management in the KRONOS time reporting system and act as key contact for any payroll related issues for weekly payroll. * 20% Compliance and Records Management: Maintain employee files in accordance with company policy. Insure confidentiality of files including limiting access to appropriate management. Assist with maintenance of required Federal, State, and Cargill posters in the region. Provide administrative support for employee leaves, ensure employees receive documents in a timely manner and process per business unit guidelines. Assist with compliance of Cargill’s Record Retention Policy. * 20% New Hire Onboarding: New Hire Onboarding and coordination of access for new employees, including cell phones, computer set up and passwords. Submit pre-employment background checks, schedule physicals and drug screenings, conduct new hire orientation including benefits and other new hire paperwork. * 10%Recruiting: Support hiring processes by maintaining job files, posting positions, coordination of pre-employment processes such as scheduling physicals. Assist with on-boarding and orientation for new employees including completion of paperwork and sending paperwork to Payroll. Assist with Affirmative Action Plans.
Ideal Candidate
**Required Qualifications:** * High School Diploma or equivalent * Minimum 2 years experience in a business office environment. * Demonstrated proficiency in multiple business applications: Microsoft Word, Excel, Outlook, Powerpoint etc * Demonstrated ability to handle confidential and highly sensitive information * Demonstrated ability to accept accountability and to work individually and as part of a team * Demonstrated high levels of organization, written and verbal communication, and documentation skills * Motivation and ability to execute projects/tasks in a timely manner, strong prioritization and time management skills * Proven high level of integrity and work ethic * Ability to manage multiple priorities and variable workload * Able to perform basic calculations and mathematical figures * Physical effort – Sits at computer for long periods of time, spending a lot of time on the telephone and or e-mail. * Physical environment – Office Environment **Preferred Qualifications:** * Associates Degree or Bachelor’s Degree in Business, Accounting, HR or other related area * Experience working with KRONOS time and attendance system * Proven knowledge of basic HR rules and regulations
