Summary
Reporting to the Senior Director, Talent Acquisition and Staffing, the Talent Coordinator has responsibility for the administrative functions in the Talent Acquisition and Talent Staffing departments.
Responsibilities
- Monitor all job requests through both Salesforce (CRM) and iCIMS (Applicant Tracking System) to ensure accuracy. - Works with cross functional teams including hiring managers, HR, IT, payroll and finance. - Ensuring all active jobs are posted on the associated job boards including social media and are performing at a high level, which includes achievement of a monthly web applicant goal and a pipeline of qualified web applicants for each active job. May work with SEO related activities for job posting performance. Will also manage relationships with job posting vendors and review monthly reports to evaluate ROI of job ad spend. - New user creation in iCIMS and update job templates. iCIMS administrator. - Works with Talent Acquisition Specialists to understand job postings that are not performing well and research possibilities for new postings or tweaks to the current job advertisements to increase web applicants. - Mail correspondence for department. - Engage potential talent through social media outlets to drive employer branding. - Maintain the Colleague Referral Program including reporting, payouts and daily maintenance to ensure Talent Acquisition Specialist follow up. - Manage monthly expense reports and receipts for department. - Assist with the planning of departmental meetings including the annual meeting. - Assist with the maintenance of departmental reporting at the request of the Senior Director, Talent Acquisition and Staffing. - Answer incoming calls to the department and route appropriately and maintain departmental email accounts and voicemail. - Handles lunch orders for job interviews and team meetings as requested. - Assist with travel related requests for the Senior Director, Talent Acquisition and Staffing and job candidates. This would include initiating travel requests with the travel department and tracking travel itineraries as well as meeting space. - Maintain meeting requests, calendar availability and handle vendor inquiries for Senior Director, Talent Acquisition and Staffing. - Some responsibility for candidate onboarding tasks as assigned. - Support Talent Staffing projects including bi-annual skill surveys, colleague related support and bio creation conversion to assigned template. - Support Talent Acquisition and Staffing teams with administrative needs as assigned.
Ideal Candidate
- 2+ years of experience as an administrative assistant, recruiting coordinator or similar role. - Experience managing calendars including meeting requests through Outlook, answering/routing calls and working with vendors. - A high degree of proficiency in all MS Office Suite Products including Excel, Word and Powerpoint. Internet and social media savvy including the use of Twitter, Facebook and LinkedIn. - Experience or education in marketing or recruitment is preferred. - Experience with SEO and/or Google Analytics preferred. - Professional with excellent communication and writing skills. - Maintains a high level of discretion with confidential information.
