Summary
We are seeking a bright, articulate, and extremely organized person that will be instrumental in supporting the President and Chief Executive Officer of Caissa. This is a highly visible position with the opportunity to contribute significantly and grow professionally within a quickly growing company. You must be comfortable (and ideally excited!) working in a fast-paced, high pressure environment and approach tasks with a sense of urgency.
Responsibilities
* Coordinate calendars, scheduling of meetings and calls * Prepare for meetings by confirming attendees, coordinating with vendors when catering is necessary * Arrange travel and prepare itineraries, including transportation and hotels * Implement new tools and technology to improve administrative efficiencies * Assist with operational support, such as posting new jobs, researching office space in new Caissa locations, onboarding new employees with our payroll system * Document and record notes in meetings * Act as office manager ensuring all Caissa offices are properly equipped with supplies necessary * Help organize contact information and keep the CRM updated with this information * Assist with mailings, such as sending out critical material via FedEx * Maintain office visitor list for two primary offices * Be flexible in assisting in any responsibilities the team may require * Maintain professionalism and composure even amidst much activity * Answer phone calls and take detailed messages
Ideal Candidate
* BA/BS with strong academic record * Ideally 2+ years of experience working with senior executives at a rapidly growing company * Proficiency in Microsoft Office * Very high standards of integrity and ability to maintain confidentiality * Exceptionally detail oriented * Strong project management skills * Excellent at multi-tasking * Self-motivated and extremely resourceful * Ability to work in a fast-paced, high pressure environment * Understanding of basic office equipment, like copiers, fax machines, etc.
