Summary
The Executive Assistant will provide support to our EVP and staff executive by managing schedules, communicating internally and externally on behalf of the EVP, assisting with project needs and managing other administrative tasks within the company.
Responsibilities
* Manage the complexity of the EVP’s calendar, including prioritizing/determining who will meet with the EVP when and for how long, flagging deadlines, and requesting supporting information as needed. S/he will work with the Staff Executive to ensure that meeting objectives are realistic, that preparation is appropriate, and that the EVP is well-prepared * Professionally communicate, and maintain the company’s positive image through all forms of internal and external interaction – in writing, on the phone, and in person * Coordinate domestic and international travel plans with elaborate agendas end-to-end, including the management of all logistics and itineraries * Take part in complex projects requiring input from multiple sources, and ensuring the timely completion of work at a very high standard of quality * Assist with meeting logistics for university partner meetings * Handle general administrative duties for the EVP’s office, including being responsible for developing powerpoint and managing the timely expense report reconciliation within Workday for EVP and Staff Executive * Coordinate details and arrangements of EVP’s personal life, when necessary * Be available/”on call” to help resolve unexpected issues or delays that may arise during travel or events
Ideal Candidate
**Things That Should Be in Your Background:** * Bachelor’s degree required * 7+ years experience serving in an executive administrator role for the senior leadership at a high growth company * Should be adaptable, resourceful, and able to work autonomously * Can maintain a positive and professional attitude while managing a changing work environment with agility and enthusiasm **Other Attributes That Will Help You in This Role:** * Strong work ethic with a “can do” positive attitude * Solid organizational skills with a laser-focused eye for detail * Impeccable written and oral communication skills * Poised demeanor when dealing with other executives, academic leaders and board members * Flexible and able to multitask, switch priorities as needed within a collaborative environment * A desire to remain and grow in this role over a number of years * Travel: as needed to support meetings/events
