Responsibilities
Responsible for supporting the Market Director in all aspect of their job in addition to assisting in creating a competitive leasing advantage for Jones Lang LaSalle by proactively co-managing the Market Director’s clients and prospects. The role will require a Texas Real Estate license and involve the coordination of meetings, correspondence, deliverables, marketing materials and overall transaction support for clients and prospects. General Responsibilities: - Provides direct administrative support to the Market Director (MD) - Schedule appointments, coordinate calendars, expense reports and manage heavy travel schedule. - Be acknowledged as MD’s “ambassador” by critical clients and decision makers both external and internal - Work as MD’s active liaison with all business lines and support groups to promote a high level of satisfaction among internal and external clients by promptly responding to their service/leasing requirements as required and creatively determining proactive ways to improve the business. - Correspondence, file maintenance and management, meeting planning and scheduling, report preparation, and implementation of process enhancements and business initiatives - Receives calls from clients, determines nature of business, and directs callers to appropriate destination - Coordinate meetings - Create and maintain distribution lists for Market Director communications and assist in “targeting” potential future clients, set up calls, meetings, etc. to effectively leverage MD - Monthly/Biweekly and weekly reports: assist in the preparation of the clients reports, set up meetings and assist in preparing proposals, RFP’s and presentations - Maintain and manage contact database in Outlook and web-based CRM program. Entry of all deals and corresponding documentation in data bases - Prepare Commission Statements and collate with necessary supporting papers - Contribute to the creation of building processes, methodologies, best practices as well as other programs for the organization - Provide support to team in various company supported technology applications such as Dealio, CRM, and PeopleSoft. - Maintain effectiveness in varying environments, tasks and responsibilities, or with various types of people. - Dealing with Ambiguity – effectively cope with change by shifting gears comfortably, acting without having the total picture, and handling risk and uncertainty comfortably - Planning and Organizing – ability to establish course of action to accomplish goals and evaluate results, develop schedules and task/people assignments, orchestrate multiple activities at once to accomplish goals, and use resources effectively and efficiently. - Customer Focus – dedicated to meeting the expectations and requirements of the external and internal customer, by acting with customer in mind, establishing and maintaining effective relationships with customers, and gaining their trust and respect. - Interpersonal Savvy – relate well to all kinds of people inside and outside of the organization with diplomacy and tact. - Proactive – enable MD to focus on revenue generating tasks by efficiently handling operations of team. Additional - Account Management Responsibilities: - Collaborate with MD and Account Managers to monitor portfolio critical dates and to develop proactive recommendations - Develop methodology to ensure effective and consistent communication with the clients - Support client’s strategic planning process, project management activities, and cost savings reporting - Understand the full suite of Jones Lang LaSalle products and services and incorporate them into the account where appropriate - Assist Market Director and Account Managers by coordinating and managing acquisition and disposition activities for free and leasehold properties including: client needs analyses, transaction team development, marketing plans, financial analysis, transaction negotiations, and presentations - Assist in producing and executing an annual plan and related client business plans to include: key objectives, client satisfaction results, summary of value add activities, and potential growth/expansion opportunities - Develop and monitor Key Performance Indicators that align with client goals and performance objectives for the account
Ideal Candidate
- Bachelor’s Degree or commensurate experience preferred - Real Estate License required, or in process - Workplace experience, minimum of 6 years in administrative support role and real estate background is preferred. - Strong organizational, interpersonal and communication skills and attention to detail - Strong proofreading and editing abilities - Advanced Microsoft office product knowledge (Excel, Word, PowerPoint, and Outlook) and database software - Working knowledge of Adobe Creative Suite (Photoshop, InDesign, and Acrobat) a plus - Quick Learner – ability to learn quickly when faced with new problems and challenges. - Self Starter – able to start and complete projects independently - Time Management – use time effectively and efficiently. - Written/Oral communications – ability to speak and write clearly and concisely.
