Summary
As the Executive Assistant, this role will report directly to the Chief People Officer, driving all activities necessary to ensure that members of Zonar’s senior executive team have the assistance they need to streamline their work. This role will act as the main point of contact between the senior leadership team and all outside customers, clients, etc. This role requires an out of the box thinker who is confident taking ownership of the Executive Assistant position and making it their own. To be successful, this role will need to work well in a fast paced, entrepreneurial environment.
Responsibilities
* Screen incoming phone calls and mail at the executive level, responding promptly and appropriately to all incoming correspondence * Maintain up-to-date Executive calendars, scheduling appointments on and offsite as needed * Ensure management is informed of deadlines and problems * Communicate with parties as needed on behalf of senior management, facilitate day-to-day business matters * Prepare correspondence accurately from dictation and/or other provided information * Maintain an organized filing system for correspondence, business matters, and other related data * Prepare and confirm all Executive travel accommodations, resolving issues as they arise * Maintain customer confidence and protect operations by keeping information confidential * Assist in planning and coordinating annual company holiday parties and events * Prepare monthly expense reports for C-level executives and Sr. Executives * Assist in management, design, and execution of corporate space planning needs * Uphold confidentiality
Ideal Candidate
* Ability to exercise independent judgment * Conduct business tasks in a structured and organized manner * Outstanding organizational and interpersonal skills * Very strong, and highly accurate communication skills (written and oral) including experience communicating with Executives, Board of Directors, Customers and Prospects * Ability to efficiently prioritize tasks in a very fast paced, dynamic work environment * Ability to set goals/objectives and achieve scheduled deadlines * Advanced knowledge of Microsoft PowerPoint, Word, Excel, Outlook (SharePoint experience a plus) * Excellent business aptitude * Strong attention to detail * Professional and confidential approach is imperative (this role will be trusted with highly confidential information) * Minimum Associate’s Degree or equivalent work experience required, BA in Business Administration or related degree a plus * 7+ years supporting executive staff in a large growth environment or technology industry, global experience preferred
