Summary
Using the Values of Integrity, Innovation, and Intensity, the Supervisor, AP Admin will oversee the administration activity for business segments of YLA. The Supervisor, AP Admin will have knowledge of vendor maintenance, purchase order process, expense reporting and cash disbursement activities while ensuring that the day-to-day workflow is completed in a consistent and timely manner. The Supervisor, AP Admin is expected to operate with a controls oriented mindset focused on continual review of policy and procedures, and the overall impact on the organization, producing recommendations for areas of control implementation and process efficiency gains. The Supervisor, AP Admin will train and guide staff on improving overall efficiency and evaluate their performance regularly. Additionally, he or she will provide appropriate strategies to personnel while also providing assistance to the Manager, Documentation & AP Admin and other Management personnel and perform special projects as assigned.
Responsibilities
* Resolve internal and external customer complaints or answer questions regarding policies and procedures. * Supervise the work of administrative staff to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems. * Provide employees with guidance in handling difficult scenarios, complex problems or in resolving escalated complaints or disputes. * Implement corporate or departmental policies, procedures, and service standards in conjunction with management. * Communicate with affiliates and vendors on AP Admin related issues * Research, analyze and resolve complex payment and vendor issues. * Assign workload and set priority for staff. * Ensure timely processing of expense reports. * Daily supervision of outgoing payments, including checks, wires and ACH for completeness. * Supervision of lease schedules, recurring payments, reporting, analysis, etc. * Maintain relevant stats, metrics and KPI's for the capture of data producing actionable items and informed decisions in a proactive manner. * Monitor and evaluate staff's performance and recommend training and development when appropriate. * Works with the Manager, Doc & AP Admin to establish internal control procedures and maintains segregation of duties as necessary.
Ideal Candidate
**Education and Experience** - Bachelor's degree in Accounting, Finance or like discipline or an equivalent combination of education and experience. 5+ years of AP experience with at least 3 years at supervisory level. Experience in a Shared services environment preferred. Core Competencies and Values * Excellent verbal and written communication skills. Ability to communicate with all levels of Management. * Excellent ability to interact professionally and effectively with internal and external customers in person and over the phone. * Excellent analytical and financial analysis skills. * Strong organizational and time management skills. * Ability to handle multiple tasks simultaneously while paying attention to detail. * Ability to gather and interpret data, compile information and prepare reports. * Ability to train new hires on policies and procedures. * Ability to develop and mentor staff. * Systems experience: ERP systems experience preferred, JD Edwards a plus.
