Responsibilities
This position is responsible for aligning platform integration and installation efforts with customers and stakeholders to implement and improve network-centric warfare capabilities on assigned ships. The successful candidate will maintain and report program office administrative records. The candidate shall track all action item due dates, sending out tickler notices no later than two days before the actions are due. The candidate shall follow-up on all tickler notices on the day the action is due to ensure due dates are met. The candidate shall investigate, conduct surveys and compile statistics necessary to prepare reports, correspondence, messages and memoranda within the timeframe required by the requestor. The candidate shall support with the preparation and development of graphics, briefings and multimedia presentations. Preparation shall include creating illustrations, diagrams, and charts, as directed by designated personnel. The candidate shall comply with all security regulations and instructions concerning handling and storage of classified material under their control. The Candidate shall coordinate special events, meetings, conferences, and work groups. The arrangements shall be made in accordance with the procedures and schedule set by the requestor. The candidate shall notify participants, provide agendas, directions, and arrange for appropriate equipment.
Ideal Candidate
* Requires High School level plus some specialized training. 8+ years of experience. * Maintain responsibility for the critical organization, prioritization, and scheduling. * Maintain continuity of office in the executive’s absence. Execute independent decisions within established guidelines and preform a full range of administrative services, including making appointments and scheduling meetings. * Arrange logistics and invitations and participate in clerical duties, including scanning, copying, mailing, and processing purchase orders and invoices. * Complete expense reports online for executives, provide other administrative assistance, as assigned, make travel arrangements and serve as the team expert on matters pertaining to administrative procedures. * Organize and maintain filing systems, answer phones, contribute to building and work in a team of administrative professionals and provide backup for one another, as needed. * Draft communications, perform proofreading, and provide graphics support as needed. Work independently within the full range of administrative responsibilities. * Collaborate and promote a team environment with other EAs on the team and with key business leaders.
