We now need an Administrator to support our HR and Office Manager and this person will also be the face of the company in meeting and greeting visitors and clients at our Wall Street office.
Additionally, you will support our VP of Compliance in updating reports and databases with regulatory and compliance data, so an interest in the CRE/Banking and Compliance world would be advantageous.
- Welcomes guests and customers
- Book all travel arrangements
- Manage employee security access cards and the ordering of business cards
- Food catering for meetings
- FedEx shipments, sorting and distributing mail
- Manage IRIS call tree system and quarterly testing
- · Fire Drill support
- Update office phone directory
- Book conference rooms
- Manage Seamless Web
- Maintains office and kitchen supplies inventory by checking stock to determine inventory level; anticipating needed supplies
- Manage Kitchen
- Coordinate and oversee prompt completion of maintenance and repairs of office and equipment
- Updates Seating Chart
- Assist with filing, copying and report binding
- Support VP-Compliance with weekly ARK covenant past due reporting – download Excel export, populate ongoing file and generate charts. Prepare additional reporting/data manipulation as requested
- Run OFAC and FinCen Obligor checks using HSC database (as needed); Report results to VP – Compliance
- Upload FinCen files to RDC database upon receipt
- Perform RDC data requests as requested
- Update ARK database with AM and/or LA changes, missing data points
- Support AM with outstanding reporting reviews, communicate gaps as needed to AM and VP-Compliance
- Work with VP-Compliance to conduct random audits of “closed” covenants to ensure full reporting received and compliant
- Perform ad hoc analysis for AM team, Business Analysts, Compliance, DB Client requests
- Advanced MS Office Suite including Outlook, Excel, PowerPoint and Word.
- Presentation Skills, particularly in PowerPoint
- Create mail merge in Word
- Positive, professional attitude
- Flexible with an ability to work on different tasks at once
- Detail focused, particularly when working with data
- An interest and willingness to learn about regulatory and compliance issues in the Banking sector would be advantageous
