Summary
Provides administrative support that includes meeting event planning and support, facilitation of department projects, phones, records management, various correspondences and other departmental duties.
Responsibilities
* Meeting event scheduling, planning, and support for large groups in person or by video conference (draft meeting notices, set location, room set-up, participant and traveler lists, food, materials, etc.) * Distribute meeting notices, press releases, messages and meeting materials (email, fax & mail) * Maintain department files, lists, documents, and confidential meeting records. * Maintain Governance Executive Director’s calendar and schedule. * Maintain the Union’s Master Calendar and support conference room bookings. * Prepare, distribute and archive correspondence. * Manage and distribute mail and phone calls. * Also provides administrative support as needed to the Director of Governance. * Coordinate travel arrangements and prepare expense reports. * Responsible for preparing invoices for review and payment. * Order and maintain supplies for the department; coordinate repairs/replacement of equipment. * Maintain a general knowledge of policies and procedures used in the department. * Meeting support requires a commitment of overtime (some evenings and weekends) or as SAG-AFTRA determines necessary to meet its business needs. * Performs other duties as assigned or as the situation dictates.
Ideal Candidate
* Able to communicate effectively in English, both orally and in writing. * Able to use PC applications. * Detail oriented. * Able to organize and coordinate multiple tasks under daily deadlines. * Able to work under pressure. * Diplomacy and discretion (confidentiality). * Superlative interpersonal skills: high degree of patience and tact, and able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally. * Hold yourself and others accountable for a high level of performance and integrity. * Able to prioritize tasks and follow-up with little or no supervision. * Able to be courteous and responsive to all member inquiries. * Have an understanding and awareness of worker rights impacting SAG-AFTRA members. * Must be able to work in a challenging environment where constructive feedback from others is encouraged. * Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA’s sole discretion. * Must be available and willing to work overtime per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs (schedule flexibility) * Must be available to work and willing to travel to offsite locations with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs. * Administrative training and/or an equivalent combination of education and experience. * Previous executive support experience. * College degree or College courses a plus.
