Responsibilities
**Summary:** This position is primarily responsible for overseeing day-to-day activities at the building, accounts receivable, accounts payable and tenant services requests. Scheduling of vendors, Tenant Improvement work, Contract Execution, invoice coding, and all other assignments as assigned by supervisor by performing the following duties. **Essential Duties And Responsibilities:** * Core duties and responsibilities include the following. Other duties may be assigned. * Handles rent and payment, utility reimbursement: Performs daily payment processing and posting. * Is responsible for Account Receivable Rent Collections. * Handles property accruals (reconcile vendor ledgers from monthly services). * Is responsible for Property Operations Invoice Coding (code per GL against budget and accounting software). * Handles Commercial Billing review (check for billing error and generate rent charges for tenants, and distribute invoices to tenants). * Processes move-ins, move-outs and all related tasks. Including move-out accounting. * Assist cost accounting to processes Draw Requests (Construction-prepare required documents to fund construction invoices). * Is responsible for recommending Property Write off (every month review age receivable and identify 90 day over, analyze to retrieve money and determine for write off). * Is responsible for recommending Property Bad Debt Allowances (Each month, review what is owed and recorded in the bad debt allowances due over 90 days). * Handles Late Fee Processing (15th of each month receive A/R who has not paid rent, review leases the calculations of late fee and charge accordingly). * Is responsible for Monthly Utility Reimbursement Processing (meter reads from engineers, gather information in excel spreadsheet to calculate and enter in accounting system to create invoices and distribute to tenants). * Performs Miscellaneous Tenant Expense Reimbursement Processing (ie order signage, extra janitorial service, install equipment, etc., charge tenant based on work order to create invoice). * Assist in preparation of annual operating expense tasks. * Performs Leasing Commission Verification (check and balance to verify invoices from leasing brokers, per listing agreement, and leasing verification worksheet). * Is responsible for Tenant Quick Set Up in MRI System to apply money and set-up lease charges and CAM recoveries. * Requests the bid (once the bid is awarded): analyze, set-Up Vendor Contract and agreement (request W9 and enter in accounting software). * Notifies and communicates to property tenant of changes and news. * Resolves tenant issues. * Handles Account Receivable Monthly Reporting-Provide documentation of attempts to collect rent on delinquent receivables. * Is On- Call Representative After Hour Emergencies. * Schedules Property Maintenance. * Assists in preparation Annual Budget and Reforecast. * Completes Lease Abstracts (review lease agreement and abstract pertinent information to a snapshot version of the lease) for manager’s review. * Handles Lease Administration (get the leases, coordinate signature with management entity to execute the lease, provide an electronic and hard copy to broker and maintain electronic and hard copy file). * Performs General Construction Management (as needed) sit in on tenant improvement meetings and coordinate with the asset team to pay the bills, do site visit and conduct audit of the property.
Ideal Candidate
* 2-3 years Commercial management experience a MUST. * A Bachelor's degree (B.A.) from four-year college or university is preferred. * Real estate license or willingness to obtain a license is necessary.
