The Property Manager has on-site day-to-day responsibility for all property management activities/functions (on single or multiple properties depending on size, location, and type), including but not limited to: property maintenance, tenant relations, property budgets, support to leasing/re-leasing, collections, reporting, tenant improvement activities, property appearance and condition, and providing (or directing) on-site or general leasing activities.
JOB RESPONSIBILITIES:
Accounts Receivables:
- Review and approve monthly rent up.
- Approve tenant adjustment, write-off, and refund forms as required.
- Complete TI.
- Approve “no reserve” request forms and complete quarterly bad debt reporting.
- Oversee receivables collections in accordance with company policy including tenant follow-up.
- Manage that collection activities are done property in accounting system.
- Ensure late fees are charged in accordance with the terms of the lease.
Accounts Payables:
- Review and approve invoices per the designated signing authority in the Authority Matrix.
- Ensure utility deposit procedures are followed and approve surety bond request forms.
- Approve building credit card invoices.
- Approve tenant refunds.
- Work with the tax consultant and Asset Manager to aggressively appeal tax assessments.
- Review and approve tenant improvement allowance payments and/or rent credits.
- Approve monthly accruals.
- Approve employee expense reports.
- Pursue legal action to collect delinquent balances when necessary.
- Complete required reporting such as operational expense variance and capital variance and ensure preparation of tenant letters.
Budgeting and Reporting:
- Complete annual capital plan, operating budget and reforecast, and variance explanations related to the budget.
- Review and approve variance explanations on the monthly operating report and capital report.
Vendor Management:
- Responsible for vendor relations on capital and construction projects.
- Execute design services’ agreements with the building space planner and engineering firm.
- Oversee the development of requests for proposals and bid contracts as required.
- Manage electricity purchasing in deregulated markets if applicable.
- Monitor and inspect the capital contracts and vendor performance for compliance with contract specifications.
Lease Administration:
- Responsible for ensuring that letters of credit and tenant deposits are maintained in accordance with lease requirements.
- Approve lease abstracts for new leases and amendments.
- Respond to tenant lease audits.
Building Maintenance, Construction, and Security:
- Oversee the preventive maintenance program with property engineers.
- Ensure the completion of and resolve any issues with the regular janitorial inspections and quarterly building inspections.
- Manage the review and completion of preventative maintenance tasks in the tenant work order system.
- Develop and implement the Security and Emergency Preparedness Plan and the Business Continuity Plan.
- Pursue energy savings and green initiatives.
- Ensure the property participates in the Energy Star and consumption is closely monitored.
- Oversee that the building energy management system is fully utilized.
- Review and submit insurance incident reporting forms.
Tenant Relations:
- Oversee the tenant visitation program and maintain relations with the tenants, ensure timely resolution of tenant requests.
- Assist with tenant showings.
- Review lease draft language and provide input to the Asset Manager when requested.
- Stay abreast of market conditions, rental rates, and availability in competitive buildings.
- Implement tenant move in and move out procedures.
- Respond to Kingsley survey results to conduct independent surveys on a regular basis.
Employee Management:
- Supervise the property management support staff.
- Work with Human Resources to hire, train, and discipline employees.
- Approve time off requests and timesheets. Complete performance evaluations and goal setting.
Other:
- Proactively stay involved in the local community and real estate organizations, i.e. BOMA.
- Maintain relations with the brokerage community.

At least three to four years as an assistant property manager or property manager in property management, commercial real estate preferred.

Four year degree or equivalent experience.

RPA, CPM or CCIM designation preferred.

Real Estate License preferred.

Proficient in Microsoft Office and advanced Excel skills.

Proficient in MRI or other real estate accounting software.

Excellent verbal and written communication skills.

Must be a self-starter, self-disciplined, and highly organized.

Must have a strong work ethic and be team-oriented and highly dependable.

Must be able to physically visit and inspect all areas of the property.

Proficient in Angus Anywhere or other tenant work order system.
