Summary
The Assistant General Manager (AGM) functions in the short-term absence of and in conjunction with the General Manager (GM) as the professional in charge of specific assets under management. The AGM is responsible for all aspects of client and tenant satisfaction.
Responsibilities
* Develop and maintain positive Client / tenant relationships. * Maintains role as primary / secondary contact to tenants relative to tenant service requests. Proactively meets with tenant representatives on scheduled basis. * Communicates regularly with Property Administrator, providing necessary support and information. * Assist in preparing and executing annual property business plan and budgets. * Assist in preparing monthly operating statements / reports. * Assist in preparing quarterly operating / investment reports. * Prepares manual tenant billing adjustments. * Prepare lease abstracts for GM review. * Prepare monthly rent statements and assist in collecting all rents due under leases agreements. * Inspect buildings weekly to guarantee that building services are at the highest level of quality standards. * Assist in negotiating service contracts, as directed by the GM. Obtain bids from different vendors, and with the GM / Client approval, choose appropriate vendor to perform work. * Manage and oversee all service contracts and vendor relations, as directed by the GM. * Ensure all managed sites are operating according to state and local building codes. * Ensure emergency Evacuation Procedures and fire life safety systems are updated and in effect. * Assist in purchasing supplies and services in accordance with the current year business plan and within spending limits and guidelines. * Assist GM and Building Engineer with tenant improvement process. * Manage and/or assist GM with capital projects / major repairs / deferred maintenance projects. * Assist GM and Building Engineer with Management and Engineering Services Compliance Excellence Program. * Prepare aged receivables reports. Work with tenants, GM, and Accounting to resolve aged delinquency issues. * Participate in Property Management Department initiatives. * Any additional duties as directed by the GM.
Ideal Candidate
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill and/or ability required. **Education/Experience:** * High school diploma or general education degree (GED). Associates or Bachelor degree a plus. * Three to five years related experience and/or training required. * Previous experience in property management required including budget preparation, financial reporting, familiarity with building systems, lease documentation and administration. * Previous experience with portfolio based property management where multiple properties were managed. * Obtain or hold the required real estate salesperson license. **Communication Skills:** * Ability to read, analyze, and interpret legal documents (lease documents, claims of lien, etc.), general business periodicals, professional journals, technical procedures, or government regulations. * Ability to produce well-written reports, spreadsheets, business correspondence and procedure manuals. * Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors, peers and the general public. **Mathematical Skills:** * Ability to calculate figures and amounts such as discounts, interest, commissions, prorations, percentages, basic calculation of measurement of rent, parking fees, and late fees. * Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. * Ability to analyze, interpret and explain financial statements and calculate dollar and percentage variances. * Possesses proven financial and accounting acumen including clear understanding of cash and accrual accounting procedures. * Has strong knowledge of escalations, recoveries, special charges, etc. **Reasoning Ability:** * Ability to define problems, collect data, establish facts, and draw valid conclusions. * Ability to solve practical problems and deal with variety of concrete variables in situations where only limited standardization exists. * Ability and respond to interpret a variety of instructions furnished in written, oral, diagram or schedule form. * Strategic thinker with strong implementation orientation. **Other Skills and Abilities:** * Knowledge of JD Edwards, rCash, Yardi, MRI and Kardin a plus. * Must have proficient knowledge of Microsoft Word, Excel and Powerpoint. * Ability to work, on occasion, flexible hours which may exceed 8 hours in a day, 5 days in a week or 40 hours in a week. * Must have the ability to multi-task and/or manage multiple projects simultaneously. * Must have a valid driver’s license.
