Summary
This position will be responsible for developing and implementing records management tools, including records inventories, records indexing and classification systems, records retention and disposition schedules, and file plans to support nationwide records for the PSA corporate and field operations.
Responsibilities
* Maintain a records inventory, retention, and disposition schedule * Develop strategic relationships with off-site storage vendors, enable partnership engagements, communicate their capabilities internally within PSA * Conduct research of laws and guidelines to determine retention and destruction schedules and maintain documentation * Consult with existing PSA locations and develop records policies/procedures and insert best-practices * Ensure proper procedures are followed for retention and destruction schedules * Assess the daily record management activities of PSA locations and recommend process improvements measured against national standards * Ensure training is provided to all departments and locations on the requirements and procedures for establishing and maintaining sound record management practices * Act as the primary records contact and subject matter expert nationwide * Ensure records management audits are conducted for all departments/locations to ensure compliance with records management laws and guidelines * Generate reports from the records database as requested * Provide staff training and guidance for the purpose of protecting the confidentiality, integrity, and availability of PSA’s information * Actively work on procedure refinement * Supervise a staff of 1 -2 employees * Ability to travel 25-75%
Ideal Candidate
* Bachelor’s degree in one of the following disciplines: business administration, public administration, or a field closely related to records management * A minimum of 6 years of demonstrated managerial experience in a records management environment * Must have a general knowledge of life-cycle records management, including the use of file plans, records inventories, and records retention schedules. * Records management certifications are preferred * Skills and abilities to lead and supervise * Proven experience in planning, organizing, and developing records solutions * Proven experience designing, planning, and implementing policies, procedures, and workflow process * Ability to conduct needs assessments for records management and storage * Ability to make and implement recommendations and decisions * Experience in participating in meetings with vendors to communicate capabilities and solutions, and secure specifications to agree upon timeline and project scope * Effective interpersonal and communication skills and the ability to provide excellent customer service
