Summary
Prologis is seeking an Administrative Assistant/Marketing Assistant in our San Francisco, CA office. This position supports primarily the Global Client Relations team, supporting the SVP of Global Client Relations and Director of Global Client Relations, providing a wide variety of administrative and marketing duties.
Responsibilities
* Answer telephones, providing caller with general information, transcribing messages, and when necessary directing callers to appropriate staff or voice mail. * Prepare memoranda, letters, proposals, contracts, charts, tables and other documents using various software packages. Provide support through copying, faxing, and mailing as requested by assigned staff. * Coordination around client meeting prep, print/bind materials for meetings, calls, follow ups. * Schedule and coordinate meetings, including organizing group meetings, setting up conference rooms, ordering food and beverages as appropriate and cleaning up conference room after meetings. * Maintain calendar of appointments. Schedules and organizes meetings, conference calls and appointments. Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site reservation, meal orders, attendance confirmations, participating in/traveling to certain meetings as needed and interacting with attendees to address questions or issues on event. * Summarize information gathered at meetings. * Coordinate travel arrangements including air reservations, scheduling options, hotel reservations, and car rental reservations. Develop travel itineraries to correspond with current schedules. * Lead the completion and processing of expense forms for assigned staff. Track corporate credit card payment schedule and ensures timely processing and payment. * Maintenance of SalesForce CRM database: * Update and maintain contact information for existing and prospective clients * Track and log competitive data * Generate routine and ad hoc CRM reports * Maintain overall integrity of CRM data * Execute mailings * Special projects as needed related to the capital raising process. * Work closely with other support staff through cross-training and backup support. * Is willing to take on other duties as assigned
Ideal Candidate
**Requirements** * 3+ years of in an office environment * Bachelor's Degree strongly preferred * Enthusiastic, positive attitude, good team player and client service oriented * Good sense of humor * Ability to work well under pressure independently without the need for constant supervision * Excellent written and verbal communication skills * Computer proficiency: MS Word, MS Excel, MS Outlook, and MS PowerPoint * Detail oriented with strong organizational skills * Ability to use systems to acquire the necessary data * Ability to interact with co-workers and other divisions in a respectful and professional manner * Ability to interact with external parties * Ability to multi-task and thrive in a fast paced environment * Ability to work 8:30-5:30 consistently plus flexibility for overtime as needed (occasional out of office hours depending on time zone needs) **Education and/or Experience:** College Degree highly desirable. Exemplary candidates currently pursuing a college degree with related work experience will be considered. Proficient knowledge of MS Office Suite (e.g., Word, Excel, PowerPoint, and Outlook) as well as CRM experience (SalesForce preferred). The right candidate will be effective working independently.
