Summary
The Senior Administrative Assistant will perform administrative and secretarial duties for the department with the ability to coordinate diverse administrative tasks requiring exceptional organizational skills and professionalism and confidentiality. This position is housed at the Hospital Support Center in Brentwood, Tennessee.
Responsibilities
* Performs a wide variety of department tasks and projects, including assignments which are confidential in nature. * Prepares, drafts, edits, and revises correspondences and presentations. Prepares reports that may be complex in nature. * Arranges meetings, conferences, appointments, travel and lodging, while maintaining one or more individual schedules. * Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on administrative and/or operational matters. * Communicates effectively with internal and external contacts with regards to department. * Greets and directs visitors, resolves administrative problems and answers inquiries concerning activities and operations of department/division; accepts, screens, and routes telephone calls; maintains log of inquiries as required. * Obtains, sorts, screens, and distributes incoming and outgoing mail; drafts or prepares responses to routine inquiries; prepares photocopies and facsimiles, and operates a variety of office equipment. * Records meeting minutes related to department meetings and distributes as needed. * Establishes, maintains, processes, and updates files, records, certificates, and/or other documents. * Orders, stocks, and distributes office supplies. * Performs miscellaneous job-related duties as assigned.
Ideal Candidate
* High school diploma or GED required. * Bachelor’s Degree preferred. * Minimum three years of administrative experience with a preference for at least one of these years having worked in the healthcare industry. * Communication and Presentation. * Strong organizational habits. * Software proficiency – including Microsoft Office, Excel, Word and PowerPoint. * Customer focus and relationship building. * Information and technology proficiency to include internet research. * Problem solving and decision making. * Ability to understand and follow specific instructions and procedures. * Ability to maintain confidentiality of records and information. * Flexibility. * Ability to interact with others, internally and externally, at an extremely high level of professionalism, tact and trust. Demonstrate upbeat, positive attitude and calm demeanor during stressful times. * Travel is not required. **Physical Demands/Working Conditions:** * The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Requires prolonged sitting and some bending, stooping, and stretching. * Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. * Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. * Requires lifting papers or boxes up to 50 pounds occasionally. Work is performed in an office environment and involves frequent contact with staff and the public.
