Summary
As an Executive Assistant you will provide high-level administrative support to the Chief Information Officer and other leaders within Information Services (hereinafter “IS”). This position will cover all administrative responsibilities for the CIO and other assigned IS managing directors and directors and will d interact will all levels throughout the firm external vendors, and provide overall support of Information Technology (hereinafter “IT”) department initiatives on a project basis.
Responsibilities
* Calendar management; coordinate, manage and maintain schedules, appointments and travel arrangements. * Assist with document management, including creating, updating and/or editing memos, presentations and spreadsheets. * Primary phone coverage for CIO, and assigned IS managing director(s), director(s), routing calls and answering routine questions appropriately. * Coordinate travel arrangements for the CIO, and assigned IS managing director(s), director(s). * Attend IT Steering Committee meetings and draft accurate meeting minutes. * Prepare and submit IT invoices for processing and handle expense reimbursements. * Management and analysis of IT department invoices, budget and reporting, including monthly budget reconciliation against Finance reporting. * Act as IT department lead for the contract review process. Ensure that all IT contracts follow the review process and help facilitate. * Lead the periodic effort (at least annually) to coordinate update of all IS policies and procedures as posted on iNet. Ensure that the latest policies are posted on iNet. * Assist with posting of updates policies for other departments as required. * Ongoing review and maintenance of IT intranet (“iNet”) pages, ensuring accuracy of documents and content. * File and retrieve IT documents and reference materials. * Resolve IT administrative problems and inquiries, including escalating as necessary. * Work with others in the IT department on various projects.
Ideal Candidate
**Knowledge, Skills and Competencies:** * Ability to operate in a fast-paced, multifaceted department with a demonstrated ability to multi-task. * Detail oriented and highly organized. * Strong computer skills, including proficiency with Microsoft Office and in particular advanced knowledge of Excel. * Strong interpersonal skills and the ability to interact with all levels of the firm with tact and diplomacy. * Excellent verbal and written communication skills. * The ability to handle sensitive information effectively and with a high level of confidentiality. * A positive approach and a client service oriented mindset **Educational Qualifications / Job Experience Requirements:** * Bachelor’s Degree preferred or equivalent work experience. * At least 5 years prior experience as an executive or administrative assistant in a large law firm or large corporate environment.
