Summary
Working lead for a team that under general supervision, performs a variety of complex deadline intensive payment functions and real estate property tax research for Bancorp Corporate Facilities properties. Duties include setting up Excel Pivot tables and GEAC PO#s for semi-annual and annual payments of $36M+ in realestatetaxes,researching websites for parcel numbers and unpaid property tax bills, researching websites for copies of tax bills not received to insure timeliness of tax payments, minimizing risk of hundreds of thousands of dollars in late fees to Bancorp (ex.: 1% latefee rate = $360k in late fees) and minimizing risk of loss of properties through real estate tax sales for unpaid taxes. Responsible for overseeing the handling of confidential Bancorp information and must maintain confidentiality.
Responsibilities
* Oversee payment program for Fifth Third Corporate Facilities locations monitoring/processing: * Receipt of $36M+ real estate and some personal property tax bills. * Confirming current payment responsibility against master Excel based tracking sheets. * Setting up or overseeing setting up Excel pivot table to batch pay all tax bills to one payee to reduce number of checks issued. * Set up GEAC based purchase orders for A/P Processing. * Submission of payment package to Accounts Payable for check processing (sample attached). * Checks must be returned to Real Estate Tax Processor Lead Clerk for attachment to tax bills and final distribution via overnight or ground courier to taxing bodies (reducing risk of late fee implementation and providing confirmation of delivery). * Match up all receipts returned by taxing body ensuring tax payments paid at 100%. Enter confirmations on Master Tax tracking sheets and file with copies of tax bills. * Research payments where confirmation receipts not returned (web based or phone calls) to ensure payments credited. Issue stop payments and new payment instructions where payments lost. * Review Master Fifth Third Bank Real Estate lists against paid tax bills. Note parcels that are billed to different (predecessor) bank names and incorrect addresses. Work with taxing bodies, via e-mail, web sites, phone calls, faxes to correct addresses and bank names. Notify Real Estate Tax and Portfolio Manager when outside legal department must be involved. * Communicate with taxing bodies or research on web when possible, to determine if there are any unpaid tax bills, listed either under Fifth Third Bank or any of the predecessor bank name, for any current or prior periods. Get copies of all these unpaid tax bills. Confirm if they are Corporate Facilities locations via comparison with PVA reports, databases, E-mails with field real estate managers. Set up for tax payment. * Review Master Fifth Third Bank Real Estate lists for gaps to determine if any bills may be delinquent. Process as in step above. * Develop list of dates normal bills should be due for each taxing body (generally twice a year) so we know when to expect them. Indicate if payments are yearly or semi-annually. * Monitor Master Fifth Third Bank Real Estate list against continuing CBRE Weekly Change Report. Make changes accordingly. * Compare Master Fifth Third Bank Real Estate lists against PVA reporting ensure that lists are synchronized and we are paying taxes where we should and aren't paying where we shouldn't.
Ideal Candidate
* High school diploma required. Associates degree in business preferred, or demonstrated experience in staff management. * Minimum of two years job experience in deadline driven environment processing invoices * Strong technical / computer skills required and must have thorough understanding of Excel and Word, as well as the ability to learn mainframe systems and database systems. Excel pivot table experience preferred but not required. * Excellent written and verbal communication skills required.
