Responsibilities
This position is responsible for the configuration, maintenance and management of portfolio drawings within the application of record (IWMS). Having a combination of technical proficiency in IWMS, AutoCAD and MS Office with strong analytical skills in support of strategic initiatives is critical. A full understanding of business processes to ensure effective space planning, space management, move management and CAD integration is imperative to ensuring data integrity. **Essential Duties and Responsibilities** - Develop, maintain and manage building architectural and furniture CAD files for the complete real estate portfolio. - A full understanding of business processes to ensure data integrity and consistency - Oversee all MAC activities. - Manage space assignments in support of MAC (Move, Add, Change) initiatives. - Serve as Subject Matter Expert (SME) and information resource for IWMS/CAFM applications. - Develop and/or generate critical real estate space allocation reports, providing critical baseline data in support of regional initiatives. - Manage Occupancy Audit activities. - Manage Task Assignments within service level parameters. - Conduct studies to evaluate the utilization of office space. - Support regional initiatives through scenario planning, test-fit development, block and stacking plans and move migration plans. - Perform feasibility studies and furniture analysis. - Verify field conditions and revise CAD drawings to reflect actual conditions, including site, space allocation and facility system plans. - Act as a lead on technical guidance for space planning/furniture/CAD standards and facilities planning process development. - Develop rules, policies, standards and procedures for gathering, validating and publishing spatially related data, including drawings, budgets and related reports. These rules and procedures may include the adoption of industry and/or in-house Standards - Support Finance Team with respect to space assignments and chargeback models. - Ensure that any space planning or specifications include any requirements for special needs, ensuring that the design abides by ADA or locally relevant standards. Collection of any special needs may be required from time to time in relation to space planning. - In providing services, the following must be adhered to: - Internal policies on space standards and space planning - Data Security requirements - Health and Safety in the workplace - Fire regulations **Additional Responsibility Scope:** - Directly accountable for all drawings within the IWMS, system of record, so a strong CAD skill/knowledge will be required. Accountable for Document Library.
Ideal Candidate
- High School diploma or General Education Degree (GED) required. Associate's degree from or equivalent preferred. - Minimum of 4 years of related progressive experience and/or training. - AutoCAD drawing experience is required. - CAFM software experience preferred. - Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. - Ability to write routine reports and correspondence. - Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. - Ability to effectively present information to an internal department and/or large groups of employees. - Requires basic knowledge of financial terms and principles. - Ability to calculate simple figures such as percentages. - Ability to understand and carry out general instructions in standard situations. - Ability to solve problems in standard situations. - Requires basic analytical skills. - Intermediate experience in Microsoft Office Suite applications including: Word, PowerPoint, Excel, Outlook, etc. - Ability to provide efficient, timely and reliable service to client(s). - Ability to present information in an effective way. - Ability to respond effectively to sensitive issues. - Ability to collaborate, problem solve and multi-task. - Ability to adapt to change when necessary. - Familiar with system furniture design and modular furniture while demonstrating knowledge and adherence to building regulations and health & safety guidelines. - Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. - Errors in judgment may cause short-term impact to co-workers and supervisor.
