Summary
The Executive Administrative Assistant must have previous experience supporting senior executives in a corporate setting. This role is supporting the Sales Administration Dept. with duties which include general clerical, administrative and project based work. The ideal applicant will be proactive, and demonstrate Professional Expertise as appropriate to the Essential Functions of his/ her position. The Executive Administrative Assistant should possess good team-work and can collaborate with others to achieve results.
Responsibilities
* Maintains active Excel-based databases * Calendar Strategy and Management; maintain calendars demonstrating flexibility, patience and persistence in routinely rescheduling meetings for multiple parties * Coordinate both domestic and international flights for Senior Leaders by request * Assists in the management of accounts in coordination with internal systems * Supports Sales Administration staff in all areas of the department. Supports smooth workflow * Manages mailings * Assists in processing invoices and expense reports * Maintains spreadsheets and physical files * Handles all correspondence into and out of the department * Answers telephones, transfers calls to appropriate staff members, and takes messages as appropriate * Greets and escorts visitors in a professional manner * Performs general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing * Proofreads, create and modifies documents using Microsoft Office * Maintains various company database files and hard copy filing systems * Orders and distributes office supplies for the department * Supports staff in assigned project based work * Creates various sales reports as needed * Maintains various filing systems
Ideal Candidate
**Education and Experience:** * Degree in administrative studies from a two year institution * A minimum of two years supporting a sales environment in an administrative capacity **Qualifications:** * Excellent organizational skills; detail oriented; highly motivated * Excellent Excel skills * Superior attention to detail * Excellent clerical skills * Good verbal and written communication skills * Email and internet savvy * Ability to work independently and as a team member * Knowledge of general office machines and telephone systems * Basic understanding of inventory control and Excel database systems * Prioritization skills * Quick learner
