Summary
The YPI YouthSource Center runs a variety of department programs, houses community partners, and offers services free of charge to the community. The Intake Specialist will serve as one of the initial points of entry for all potential participants. The Intake Specialist will conduct intakes, assessments, orientations, service referrals and follow up with clients as needed. The Intake Specialist will also work closely with program staff to ensure participants meet program eligibility. Additionally Intake Specialist will assist with administrative support which may include, but is not limited to, data entry into multiple tracking systems, outreach, making phone calls, providing break relief for the Receptionist, answering incoming calls, making appointments, handling and tracking customer flow, as well as informing customers about center programs. Responsibilities may include but are not limited to:
Responsibilities
* Attend to clients as the point of entry to the center/programs * Work with participants, including potential participants, with compiling pertinent eligibility documentation and determine program eligibility * Conduct regular center and program orientations on site, as well at off site * Schedule participant appointments, including reminders and follow ups * Assists with “post-program” monthly follow ups as defined by the grant and department, including working collaboratively with the Case Management staff for cases requiring intervention * Assist in development and coordination of special assignments and programs * Data entry into multiple data entry platforms including Excel and programmatic databases * Maintain organized tracking information and compile reports as required * Conduct program outreach, and participate in various community events to promote programs * Perform general office duties, such as ordering supplies, answering phone calls, maintaining records in management database, and filing documents, records and reports. * Organize, multi-task and prioritize multiple projects * Participate in staff meetings, monthly trainings, department programs, professional development trainings as required * Handle other duties as assigned
Ideal Candidate
* High school diploma * Two (2) years’ experience in community, social, public school system and/or volunteer work * Two (2) years’ experience working in the non-profit field * Superior computer and organizational skills with significant experience in Microsoft Office and Google Drive * Professional attitude, ability to maintain confidentiality, and respect cultural differences * Excellent communication and organizational skills; strong written and interpersonal skills * Demonstrated ability to work effectively as a member of a team * Assist with Center duties, which may include but is not limited to front desk coverage * Be comfortable and assist with program outreach, which includes but is not limited to: canvassing, phone calls, presentations, partner meetings * Demonstrated competency with record-keeping, documentation and data management * Ability to work in a fast-paced, dynamic environment * Ability to work effectively with minimal supervision, prioritize multiple tasks, manage competing priorities, meet deadlines—all with attention to detail * Must have access to reliable transportation to arrive to work site at scheduled time consistently and for frequent travel between sites. If applicable, will be required to present current California driver license, proof of acceptable driving record (DMV H-6 printout), and liability auto insurance * Ability to travel between sites for meetings and business purposes * Must pass a criminal background check (Live Scan fingerprinting) prior to beginning employment with children * Must present proof of negative Tuberculosis skin test (Mantoux) prior to beginning employment dated within 60 days prior to start date * Bilingual; English/Spanish preferred
