Summary
The Administrative Assistant provides excellent administrative support to executive staff and exemplary customer service to all departments and customers by performing the following duties and responsibilities.
Responsibilities
* Coordinate and schedule meetings and conference calls. * Assist with document and travel coordination and management. * Enter and retrieve data from computer via email, system tools and internet. * Perform special projects and additional tasks as requested * Assist with a variety of administrative tasks for senior staff. * Lend coverage at reception switchboard with incoming telephone calls on a back-up basis * Write and distribute effective routine reports and correspondence. * Take meeting notes, develop agendas, etc., as assigned. * Conform to and abide by all federal, state and local regulations, company policies and procedures and instructions. * Adhere to privacy and confidential and proprietary company policies and procedures (i.e. HIPAA, GLBA, FACTA, etc.). * Participate in any/all training and educational activities necessary to fulfill at least the minimum requirements as specified within your departmental goals. This is in addition to the completion of any activities necessary for the maintenance of professional affiliations or organizational requirements. * As required by changing business needs, completes additional responsibilities as assigned.
Ideal Candidate
**Education:** * High School Diploma, GED, or equivalent work experience **Experience & Background:** * One to three (3) years of Administrative Assistant experience in a large professional environment * Ability to accurately type a minimum of 40 wpm * Computer literacy in Windows environment; working knowledge of Microsoft Office and Microsoft Outlook * Flexible schedule and ability to come in early/stay past scheduled hours **Language Skills:** * Solid ability to communicate effectively both verbally and in writing with all levels of management as well as with outside individuals and groups * Maintain the highest degree of confidentiality and professionalism **Mathematical Skills:** * Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals * Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs **Reasoning Ability** * Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists * Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form **Physical Demands/Work Environment:** * The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. While performing the duties of this job, the associate is required to enter and retrieve data from a computer, sit, use hands to finger, handle or feel, and talk or hear most of the time. Required repetitive motion of sitting and using hands or fingers to feel.
