Summary
Are you a born multi-tasker? Perhaps you're one of those people who can answer the phone, set up a business trip to Brazil and create purchase orders all at once - and enjoys it. If so, you are the person Whirlpool needs as an Executive Administrative Assistant supporting the Global Information Systems team. Your administrative and communication skill-set will help maintain our professional and efficient atmosphere, as well as strengthen relationships with our business partners through your superior organization skills. Today, you might be organizing and planning a global team meeting for 120 people, scheduling travel and managing calendars. Tomorrow, you may be planning and arranging an offsite event while maintaining a positive work environment.
Responsibilities
* Provide primary support, including, but not limited to one Vice President, six direct reports and the greater team where needed. * General Administrative Support. Document management, answering and directing communications such as phone calls and emails, processing purchase orders, ordering supplies. * Schedule Management. Manage schedules through calendaring, coordinate meetings including complex interview schedules, global town halls and operational meetings. Work closely with other business administrative support for the creation of meetings. * Assist in creating an excellent onboarding experience for new-hires. * Prepare and logistically run large global meetings, create presentations, schedule internal team activities and training programs, etc. * Make travel arrangements for both US and global employees for the Vice President and his direct reports. * Must be able to work in a diverse global team environment. * Maintain Organization Charts, Headcount lists and group mail lists. * Confidentiality. Maintain confidentiality at all times
Ideal Candidate
* A positive, teamwork-oriented attitude and flexible approach * Ability to be extremely precise and detail-oriented as required, but also to work quickly and provide fast turnaround where necessary * Excellent communication skills, both verbal and written * Ability to work in a dynamic environment by organizing and prioritizing work and managing multiple tasks simultaneously, while supporting several leaders * Willingness and ability to take initiative, anticipate issues and problem solve * Ability to work independently and under pressure to meet deadlines * Discipline and organization skills and practices to consistently, reliably and independently follow through with limited supervision * Willingness to learn and help with project-type activities. * Comfortable working remotely and traveling between buildings throughout the Twin Cities * Meeting Management (through Google technology) * Expert at Relationship Mgt * Excel at being a facilitator * Excellent PC skills, experience with Google tools (Gmail, Google Drive, etc), comfortable with emerging technologies.
