Responsibilities
The University of Portland’s department of marketing and communications is seeking a Marketing Communications Coordinator who can support the marketing office team as well as external departments by assisting with a range of projects that require attention to detail and a high level of customer service. The successful candidate must also have the ability to work on many projects at one time, as well as a desire to work within teams and independently. Primary responsibilities include scheduling, trafficking, and ongoing coordination of projects, such as print projects, photography and videography shoots, campus signage, and specialty orders to ensure deadlines are met. This role, which reports directly to the Associate Creative Director for day-to-day assignments, also supports the entire marketing team by providing administrative support to the director and other staff as needed. - Interface directly with communications department staff and clients as needed to gather and develop input, coordinate deliverables, and maintain ongoing communications. - Facilitate scheduling and trafficking of all types of client projects from inception to completion. Work with internal staff as well as external vendors. Projects include advertisements, branded merchandise orders, campus and departmental banners, and print projects. - Coordinate marketing photo and video shoots and manage the process of identifying and tagging assets in the data management system when the projects are complete. - Work closely with departments and a variety of vendors to ensure new and replacement signage requests are fulfilled as well as meet branding and compliance standards. - Update financial activities, which includes invoicing, chargebacks, reconciliation for credit cards as well as budget reports. Update ongoing project information for in-house work through such management tools as SmartSheet and Filemaker as needed. - Oversee student workers to ensure office coverage and budget for student workers is accurately maintained.

- Strong project management and organizational skills. - Excellent written and verbal communication skills. - Ability to prioritize multiple projects simultaneously in a fast-paced environment. - Results driven, proactive, and able to work in groups and autonomously. - Ability to relate to and work with a wide variety of stakeholders. - Bachelor’s degree in marketing, advertising, business management or related field with 2-5 years of work experience preferred. - Excellent verbal and written communication skills. - Proficiency with: Word, Excel, Acrobat Pro. Knowledge of Adobe Creative Suite preferred.
