Summary
With general supervision, the Office Services Specialist has responsibility to assist with the effective operation of the Company’s corporate office. The Office Services Specialist will perform a variety of duties in the area of mailroom, shipping and receiving, managing office equipment, basic facility maintenance, maintaining stock rooms and providing back-up support for reception duties.
Responsibilities
• Handles all incoming and outgoing shipments and mail for Corporate office, including certified mail and UPS, FED-X, and DHL packages. • Distributes mail to the appropriate departments and/or personnel. • Logs all daily shipments to ensure all incoming packages are received and tracked. Tracks all problematic shipments. Maintains metrics on mailroom activities. • Processes parcels, completes documentation for packages, and verifies all shipments against shipping forms and address labels. • Ensures all Republic Services departments have all packages and mailings transferred to shipping on time. • Manages any and all shipping customer service issues at the Corporate office and in the field. • Oversees and manages technical support issues, including continual updates, for UPS’s shipping computers located in the Corporate office and the UPS computers in the field. • Regularly orders all necessary shipping supplies from UPS, Fed-X and USPS for the Corporate office shipping systems. • Runs all necessary reports for closing out the day’s shipments, and to ensure tracking information is uploaded into Shipping Vendor’s systems. • Assist with planning, implementing and facilitating - office/cube moves including, but not limited to all teleservice and telephonic devices (i.e. phones), networking equipment (i.e. cabling, and network availability), and additional furniture/equipment (i.e. computer hardware, cubicle configurations, furniture, etc.). • Assist with -ongoing audio / visual equipment needs –to ensure proper resource management of all audio / visual equipment company wide. • Assist with the coordination and management of Corporate office maintenance. • Assist with the management and maintenance of lamp and electrical maintenance for the Corporate office. • Assists with receiving and processing departmental office supply requests and orders, and compares with current office supply stock to determine what supplies must be ordered. Delivers office supplies as needed. • Assists with stock room inventory, organizes the purchase, and receipt of all office supplies through Arriba Spend Management System and reconciles any purchasing discrepancies. Manages kitchen supplies and maintenance items and purchase as needed. • Maintains records and creates documentation of all backordered office supply products. • Documents and receives backordered items upon receipt through the Ariba Spend Management System. • Delivers and installs paper to printing devices within facility. • Assists with troubleshooting and implementing repairs for printing equipment • Coordinates, implements, and manages cleaning and organization the inventory/stock room. • May occasionally assist with reception duties including meeting and greeting guests and routing calls received via the corporate phone number. • Performs other job-related duties as assigned or apparent. Ideal Candidate
PREFERRED QUALIFICATIONS: • Knowledge of USPS, UPS, and Fed-X systems. • Minimum of 1 year customer service and/or reception experience. MINIMUM QUALIFICATIONS: • High School diploma or G.E.D. • Minimum of 1 year of mail room and facilities support experience. OTHER KNOWLEDGE, SKILLS & ABILITIES: • Knowledge of USPS, UPS and Fed-X systems. • Experience working with office equipment including, but not limited to, computer, phone, fax machine, copier and calculator. • Intermediate experience with MS Office including Outlook, Word, Excel, . • Basic skills and familiarity with using material handling equipment utilized in office environments.
