Summary
Prologis is seeking an Administrative Assistant in our Chicago office. This position will be responsible for overall Reception for the Chicago office and Administrative duties supporting the Property Management team. The receptionist will be the main point of contact for the Chicago office and is expected to be well informed and up to date on all office procedures, activities, and events. This position requires superior customer service skills, dependability, professionalism, resourcefulness and the ability to work independently.
Responsibilities
The challenges of the position will be dealing with multiple priorities, being aware of and responsive to internal and external customer needs. The position will be fast-paced, handling many issues concurrently which are often time-sensitive and/or confidential. **Reception** * Provide superior support to visitors and clients both in person and on the phone. * Properly attend to incoming calls, route calls to the appropriate person or department, take messages and answer general inquires. * Maintain current listing of names and phone extensions of all employees in the office. * Manage daily inbound deliveries and outbound mailing by UPS, Fed Ex, USPS. If necessary schedule such pick-ups and deliveries for courier service, via UPS, FedEx. * Maintain scheduling for all conference rooms on a daily basis and reception lunch coverage calendar. * Communicate pertinent office announcements via EMAIL to all interoffice personnel. * Monitors site access, issue temporary badges and parking stickers when required. * Manage general reception maintenance. **Administrative for Property Management** * Print out and assemble monthly financial reports for property manager’s review. * Assist in coding and entering property management invoices. * Assist property management team with tenant repair requests and coordinate with maintenance technician and vendors as necessary. * Assist with tenant relation activities (appreciation event, renewal gift, tenant surveys, etc.). * Update assorted meter, lockbox, alarm code and contact sheets. * Copy and file reports, documents and materials. * Complete check request and expense reports for management approval and forward to appropriate department for processing. * Assist with vendor contract preparation. * Receive, direct and follow-up on incoming phone calls. * Coordinate and plan meetings for management as needed. Schedule appointments for staff as appropriate. * Update and change distribution lists, correspondence lists, etc. * Follow-up on deadlines and assist with reports. * All other administrative duties as assigned by the supervisor.
Ideal Candidate
* Bachelor’s Degree in relatable field and/ or Communications, English, Business, etc. * Proficient knowledge of the Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook). * Meticulous attention to detail and accuracy. * Execute responsibilities with a sense of urgency and follow-through. * Customer service mind-set and a team player mentality. * Positive, proactive work ethic and approach. * Proven ability to communicate effectively (oral and written) with customers, peers, management, contractors and vendors. * Demonstrated abilities to prioritize and manage multiple assignments in a fast-paced environment to meet deadlines with efficiency and accuracy. * Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
