Summary
* Supports the administration of the Vaccine Research Records Management Program in compliance with Records Management policies and procedures and the Enterprise Records Retention schedule * This position provides day-to-day support for the issuing, archival and indexing of laboratory notebooks and equipment logbooks. * Provides day-to-day support for the archival and indexing of critical and non-critical physical records including processing, maintaining and tracking document collections * Utilizes business knowledge and skills to provide high quality customer service and record assistance * Support scientists on use of SUBMISSION READY (PREDICT) template.
Responsibilities
* Serves as the principal contact for the issuance of VRD laboratory notebooks and equipment logbooks. Ensures laboratory notebooks and equipment logbooks are managed according to Records Management policies and procedures and departmental policies/procedure. * Ensures laboratory notebooks and equipment logbooks are secure and maintains indices/tracking of these documents. * Maintains the integrity of the laboratory notebooks and equipment logbooks. This includes managing off-site records, maintaining filing systems, importing records into official electronic repositories. * Provide advanced word processing support for preparation and issuing of all Vaccine documents. This requires a highly competent knowledge of word processing (e.g. MSWord) and publishing (Adobe Acrobat) applications and Submission Ready Standards. * Acts as secondary point of contact for retrieval of physical records. * Assists users with record searches and retrieval requests. * Maintains required record logs and indexes. * Actively manages and maintains the electronic archive database. * Participates in records scheduled and unscheduled records management inventories. * Provided audit support for document requests. * Provides scanning support as needed.
Ideal Candidate
* High school degree or equivalent with 2 years' experience or an associate's degree * Proficient computer skills - Microsoft Windows. Office Suite and Adobe Acrobat Professional * Intermediate to Advanced level of Microsoft Word * Knowledge of Electronic Document Repositories (GDMS, Gnosis) and SharePoint * Strong oral and written communication skills * Ability to plan and organize work, self-motivation and ability to work effectively as part of a team * Demonstrated ability to work under general supervision
