Summary
The primary focus of the role is to provide EA support to the Chief Human Resources Officer (CHRO), based in New York in addition to also supporting 2 of the HR SVP’s.
Responsibilities
* Accurate and complete diary management for the CHRO and 2 SVP’s including full organisation of meetings and proactive changes without consultation. To work on complicated and shifting diaries, resolving issues quickly without incident. Requires a clear understanding of world timezones * Making travel arrangements requiring a clear understanding of global company policies and cost savings * Manage logistics for meetings including producing and distributing agendas, managing attendees etc * Manage stakeholders after meetings to ensure all actions are followed up * Distribute reading materials and collate packs ahead of meetings * Assist with presentation decks for meetings * Collate all key presentation materials from HR Senior Leadership Team and Pearson Executive to prepare for meetings and to achieve timely deadlines for deliverables * Monitoring the CHRO’s e-mails taking the initiative to provide responses when necessary and were appropriate. To treat all correspondences as confidential and with discretion * Administrator of online expenses (both Corporate card and cash) for the CHRO and 2 SVP’s. Monitor then complete online on behalf of the individual accurately, without prompting and in a timely manner * Providing administrative support including telephone cover, dealing with post, filing, ordering stationery * Developing and implementing new administrative systems as needed * Coordination with London EA to ensure seamless HR leadership activity
Ideal Candidate
* Ability to demonstrate previous experience in either a project support role or as an HR Co-ordinator * Excellent organisational skills, time management and attention to detail * Proven communication skills with experience of liaising with senior management, and in dealing with external contacts in a professional and confident manner * Advanced Word and PowerPoint and a good working knowledge of Google mail and apps * Strong organisational skills and ability to prioritise * Ability to navigate the different business units, establishing networks and contacts efficiently * Understand the need for confidentiality and behave in a trustworthy and discreet manner * Strong excel skills, able to use pivot tables, etc. * Persistence / tenacity in tracking down how things work in Pearson * Good administration skills
