Summary
Provides clerical support to the assigned department(s). The Department Clerk reports to the Department Manager or Sr. Supervisor, dependent upon the size of the department. This position requires the incumbent to maintain security and confidentiality of documents and information.
Responsibilities
The Department Clerk is responsible for organizing, prioritizing and accomplishing assigned clerical tasks with minimal supervision required. The position involves prioritizing tasks and paying attention to details in order to ensure that all work assignments receive proper follow-up and are completed in a timely and accurate manner. The position responsibilities include clerical support for the entire department such as the following tasks: making copies, sorting and distributing department mail, ordering office or operational supplies, tracking sick/vacation days for individuals in the department, maintaining departmental files and records, auditing records and documents, coordinating meetings and conference rooms, entering data in SAP or other department systems, preparing monthly P-Card transactions, tracking training signature sheets, maintaining meeting notes for the department’s continuous improvement and safety teams, preparing and tracking department training, updating visual boards, backfilling other Department Clerks when they are on vacation or out of the office, and other duties as assigned. This position is responsible and accountable to ensure product meets food safety and quality requirements by following the Food Safety Plan, Quality Plan and Company policies.
Ideal Candidate
**Knowledge and Skills** * The position requires demonstrated proficiency in Microsoft Word, Excel, and PowerPoint. * Working knowledge of manufacturing system software (e.g. SAP and MES) is preferred, but not required. * Ability to speak, read and write in the English language. * Excellent verbal and written communication skills including ability to positively interact with others. * Demonstrated customer service skills including being responsive and having a sense of urgency. * Excellent organizational skills. * Demonstrated attention to details. * Ability to prioritize and complete multiple tasks. * Demonstrates a professional image in all situations. * Self-starter who demonstrates initiative in recognizing and accomplishing needed tasks for the department office. * Ability to complete assigned tasks and projects in expected time frames. **Education and Experience** * High School Diploma or equivalent. * At least 1 year of experience in a fast pace, high volume clerical support position preferably in a manufacturing environment. * Experience in data entry, development and maintenance of document filing systems, prioritizing and organizing multiple tasks, and handling a high volume of requests.
Compensation and Working Conditions
Reports to Department Manager or Senior Supervisor
