Summary
As an Executive Assistant at Insight you’ll provide executive administrative support as you manage day-to-day tasks of our Sr. Vice President of Services and Sr. Vice President of Operations.
Responsibilities
* Manage the calendars of both Sr. Vice Presidents and proactively organize time as required, using expert judgment and discretion. * Write correspondence, manage travel and expenses, coordinate office supplies and manage departmental activities. * Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings. Schedule and/or make appointments, including travel arrangements for domestic and international trips. * Assist with meeting set up, including video conferencing, audio and food/beverages. * Prepare monthly Town Hall meetings, materials and presentations (using MS PowerPoint). * Read and route incoming mail and voice messages. Locate and attach appropriate file(s) to correspondence to be answered by Executives. * Organize and maintain file system and file correspondence and other records. * Greet scheduled visitors and direct to appropriate area or person. * Conduct research, compile and type statistical reports. * Perform general office duties and miscellaneous tasks as assigned.
Ideal Candidate
* College degree preferred; or 10+ years of related experience and/ or equivalent combination of education and experience. * Extreme attention to detail and experience in a large, fast-pace and dynamic environment. * Ability to effectively present information and respond to questions and/or issues in confidence. * Excellent organizational and multi-tasking skills along with strong Microsoft Office skills with a focus on Outlook, Word and Excel.
